Qualifications

  • High school diploma or GED required, preferably some college experience.
  • Candidates should be organized and able to clearly and accurately communicate written/verbal information to clients.
  • Candidate must be motivated to provide excellent customer service to Clients, Partners, Agents, etc.
  • Must have 1yr+ of real estate experience.

Responsibilities

  • Manage all administrative aspects of the transaction from contract to close. This includes providing assistance with escrow-related documentation, scheduling inspections (home, septic, well, appraisal, final walkthrough,etc) and repairs. Assist in negotiations regarding repairs.
  • Create a house file (Skyslope) for all transactions. Input client information into our client database system. Submit appropriate documentation to the office broker for file compliance. Keep track of transaction activity.
  • Draft any addenda needed along the way and keep a record of them on file and ensure they are shared with relevant parties.
  • Act as a liaison between real estate agents, clients, attorneys, escrow companies, and Loan Officers during the process of a real estate sale and effectively manage the administrative tasks involved in closing a sale.
  • Help Realtors, customers, and other parties with all escrow paperwork, including appraisals, titles, and mortgage loans.
  • Establish relationships with all third parties including lenders, inspectors, appraisers, and all agents in order to ensure a smooth closing process and share relevant information.
  • Have a full understanding of the contracts in order to summarize all important terms, conditions, and contingency dates. Create timelines and follow up with individuals as needed to ensure all deadlines are met and contingencies are released appropriately.
  • Confirm each document to verify all the correct signatures & dates are accurate to ensure transaction process goes smoothly. Maintain accurate and compliant files for all transactions at all times.
  • Communicate with the agent several times throughout the transaction (including all important dates, missing documents, calendar reminders, file compliance status, etc.). Stay in good communication with the agent if any issues arise that they need to handle or negotiate.
  • Communicate regularly with the clients. Send them reminders, check in, and let them know what to expect in each step of the closing process.
  • Be the first point of contact/resource for all questions that arise throughout the closing process from agent (and client, attorneys, lenders, appraisers, other transaction coordinators/Realtors, etc.).
  • Coordinate closing date, time, and location and notify all parties.
  • Notify clients about utility accounts to set up & cancel.
  • For our Buyers side transactions prior to closing provide utility and confirm HOA docs have been ordered/received by Buyers.
  • Put together the closing file for the agent including any documents needing signatures/initials/dates, and any other documents needed from closing.
  • Close out the file after the closing including changing the MLS status to closed for our listings, double-checking the file, making an electronic copy of the HUD/ALTA.
  • Provide exceptional customer service throughout the entire closing process to all parties involved.
