Department: Account Management

Reports to: Sr Account Operations Manager

Location: New York – 5 days a week in New York office

Status: Full Time

Job Summary:

The New York Office Account Operations Associate will work closely with the NY based Account Management team to execute Operational job functions, detailed below. In addition, this individual will also perform office administrative and receptionist duties. Ideal candidate has perfect attention to detail, is organized and has strong communication skills with an upbeat demeanor.

Responsibilities will include:


Operations-

  • Approve travel expenses in a timely manner
  • Ensure Travel budget is executed efficiently in cost and timing
  • Coordinate and recommend most efficient travel solves for all brands
  • Close-out all proposals for the Account Management team (ensure all project segments are clean and all additional hours have been removed from the contingency)
  • Ability to adapt to change quickly and with a positive attitude – Assist with special requests as needed, often with short completion widow
  • Deliver completed monthly/weekly client calendars accurately and on-time
  • Review scheduling to ensure that Regional Managers are providing appropriate talent for each project – reviewing calendars at least one week prior to client delivery to ensure proper spacing for visits, visits are released to the correct rate, making call outs to staffing team with noted suggestions for new date if it is confirmed incorrect
  • Partner with Account team on client door changes and ensuring those are executed in BOS and that Regional Managers and the field team are aware
  • Building, loading, reviewing and releasing proposals as requested by the Account Management team

Office Management-

  • Reception area management
  • Meet & greet all guests
  • Operate telephone system to receive all incoming calls and delivery of messages
  • Order all office, kitchen and bathroom supplies and manage supply closet inventory & organization
  • Maintenance of NY office common areas (kitchen, copy room, and bathroom)
  • Manage the roof deck to ensure furniture and covers are properly set each week
  • Collect and distribute mail and schedules all package pick-ups for the office
  • Complete shipping requests
  • Manage preparations for client meetings and company events
  • Print presentation meeting materials for Business Development and Account Management team as needed
