Bookkeeping Responsibilities:

  • Track income and expenses and prepare/manage professional bookkeeping reports
  • Build a monthly set of records and accounts for all income and expenses, reconcile bank and credit card accounts, and produce management reports.
  • Prepare weekly cashflow projections and budget information, working closely with Project Managers.
  • Close the books from the prior year and tie the books to the most recent year tax return. Bring books up to date in QuickBooks including importing transactions, completing data entry transactions, reconciling bank, credit card, customer and supplier statements, adjusting and reconciling all balance sheet accounts and payroll expenses, and reclassifying any expenses necessary.
  • Process payroll
  • Manage vendors and identify new vendors who may be subject to receipt of a 1099 year-end processing and request W9 information from clients to maintain accurate up-to-date information.
  • Work with outside accounting firm on tax preparation.
  • Analyze and recommend solutions to problems drawing on information across the company.
  • Interpret and apply accounting policies, rules, and regulations to all work to ensure compliance with applicable standards.
  • May assume additional responsibilities/duties as business needs change.

SCM Responsibilities:

  • Coordinate with suppliers to ensure timely and accurate product delivery
  • Manage relationships and maintain strong communications with vendors
  • Pay vendor bills
  • Maintain a system for tracking purchase orders and shipments
  • Manage PO issuance and track inbound supplies to manufacturing partners to identify and mitigate delays that could impact finished goods deliveries
  • Work with team to develop monthly manufacturing plans as part of the Sales and Operations Planning Process, taking into consideration system capacity constraints and cost targets
  • Determine inventory levels and purchase strategy to balance on-time delivery and working capital objectives
  • Oversee inventory across warehouses to support sales order processing and communicate with team members to ensure smooth operations
  • Oversee scheduled payments to vendors, including partial payments when the terms are N-30.
  • May assume additional responsibilities/duties as business needs change.

Competencies:

  • Bookkeeping: 2+ years (Required)
  • QuickBooks Online: 2+ years (Required)
  • Experience with HubDoc (Preferred)
  • Experience with MRP software (Preferred)
  • Associates or Bachelor's (Required)
  • QuickBooks Pro Advisor certification (Preferred)
  • Complete reconciliations: 2 years
  • Ability to multitask, work independently, and lead others
  • Excellent verbal and written communication skills
  • Attention to detail
  • Skilled in Microsoft Suite
  • Strong software skills
