To support our growing operations, we have an immediate need for a talented and experienced Full Charge Construction Bookkeeper / Office Manager to join our team to support the Managing Director and Staff in day-to-day operations and build strong financial systems and reporting structures for the organization. The Full Charge Construction Bookkeeper / Office Manager handles the daily posting of financial transactions in Quick books, prepares financial reports, reconciles bank statements and bookkeeping ledgers, and ensures records are accurate and taxes and bills are paid. Also responsible for payroll and benefits; related tasks such as maintenance and supplies, and general administrative support. Currently the Henrich staff is operating under a hybrid work plan and some flexibility, and work-from-home options are possible.

Responsibilities include, but are not limited to the following:

Accounting / Bookkeeping:

• Implement day-to-day accounting procedures and operations, with functional responsibility for accounting, accounts payable, receivables, and payroll. Enter and pay bills, and invoices, using Quick-Books.

• Produce timely, accurate, and complete financial statements for all levels, executive, and management.

• Maintain proper accounting records, accurately process financial transactions, and pay invoices in a timely manner. Assist in the preparation of monthly invoices and application for payment, AIA documents.

• Produce financial reports, provide information during the preparation of audited financial statements and all tax returns.

• Administer payroll, partner with payroll company to deliver payments/ checks, manage benefits administration.

• Maintain business insurance policies, track dates of renewal and request certificates of insurance. Obtain and track certificate of insurance from subcontractors.

Office Management:

• Assisting the Managing Director and staff (if necessary) with administrative tasks such as scheduling of meetings, equipment setup for remote meetings, taking notes, etc.

• Providing logistical support for onsite meetings and events.

• Manage relationships with external vendors, suppliers, and subcontractors. Help maintain and update office policies and procedures.

• Answer the phone, respond to general email inquiries, perform other duties as assigned by the Managing Director/ Founder.

• Collaborate with Managing Director on new hires, company policy and manuals, employee job descriptions, etc. Assist with performing onboarding and offboarding of Team Members with the Managing Director- which includes, but is not limited to: Employee setup / termination and documentation, orientation, review of office policies, exit interviews, etc.

• Assist with preparation of shipments and accepting delivery of FedEx and courier packages, including maintaining supplies (as necessary)

Minimum Requirements / Required Skills:

• BS/ AS in business administration / accounting.

• 7 + years’ experience as Office Manager/ Bookkeeper in the construction industry or related industry.

• Computer knowledge and efficiency, including Microsoft Office products; Knowledge of Prolog.

• Proficiency in Quick-books required- certification preferred. • Overall understanding of the construction industry; hands-on-experience; Familiarity with requirements of Subcontracts, AIA documents, and Purchase Orders.

• Strong written, verbal communication, management, and good math/ accounting skills.

• Team player, excellent interpersonal skills; ability to collaborate with others; excellent time management and organizational skills.

• Ability to always maintain discretion and confidentiality.

• Strong decision making/problem solving skills.
