Office Manager / Secretary- Expectations:
Must always maintain a professional manner.
Be willing to learn from and teach other members of the team.
Qualifications:
5+ years of experience in office management / secretary roll
Proficient with all Microsoft Office products. Excel is a must.
Bookkeeping / Accounting Experience
Experience running payroll on a weekly basis.
Job Responsibilities:
- Filling, Scanning, Organizing project files.
· Submitting Payroll
- Paying Subcontractors and laborer’s
- Building and Updating Excell files
- Calling customers to schedule work and collect payment.
- Responsible for applying for, tracking, and expediting permits.
- Prepare estimates for sales and make sales calls
- Project accounting to maintain cost control and cash flow.
· Daily Updating of Excel Spread Sheets for Project Accounting
- Receive vendor request for payments.
- Dailey interactions with clients including: reports, invoices, and response to client questions.
- Providing Warranty information to customer
- Collecting payments from clients.
- Maintain a phot gallery of project: Before, during and after
- Customer Service
Additional Duties:
· Maintain a clean workspace.
· Update Company Web Site
- Collect documents for Audits and Taxes
