The Dental Office Manager is responsible for overseeing the daily operations of the dental practice, ensuring a smooth and efficient workflow. This role includes managing staff, handling patient inquiries, scheduling appointments, maintaining financial records, and ensuring compliance with healthcare regulations.
As a treatment coordinator you are responsible for clearly explaining treatment options and related costs. The Treatment Coordinator is a liaison between the doctor and the patient and assists in the gathering of information in the new patient’s experience, as well as coordinating a treatment plan with the doctor and presenting it to the patient. As a treatment coordinator you should be knowledgeable about the treatment and timelines and prepared to negotiate financial arrangements with the patients. You will provide a calm and warm environment for patients who are otherwise anxious and concerned about how to afford dentistry. Also coordinate, as needed, with other offices who share in the care of patients, making sure referrals and correspondence are received and followed up on.
RESPONSIBILITIES
Meets monthly and quarterly case acceptance and completion ratios for significant treatment
Production and collection goals achieved
Maintains appropriate A/R ratio and A/R breakdown according to the Annual Plan goals for the practice
Keen understanding of scheduling and financial systems
Ability to function within a team environment as a supportive and positive
Oversee the daily operations of the dental practice.
Ensure the office is clean, well-organized, and adequately supplied.
Implement and maintain office policies and procedures.
Oversee appointment scheduling and patient flow.
Ensure excellent patient service and satisfaction.
Handle patient complaints and concerns professionally.
Schedule staff shifts and manage time-off requests.
Ability to work independently
presents the costs and details of the suggested dental plan to patients and works with them to confirm insurance coverage and payment plans.
Conduct performance evaluations and provide feedback.
Coordinate with dental and clinical staff to ensure patient needs are met.
Oversee billing, coding, and insurance claim processing.
Maintain accurate patient records and confidentiality.
In-depth knowledge of dentistry and ability to describe procedures in simple language
Qualifications:
Previous 5 years’ experience in a dental office is a must.
Fluency in Spanish is a must.
Strong understanding of dental procedures, terminology, and insurance processes for PPO, HMO and Medical.
Excellent communication and interpersonal skills
Proficiency in dental practice management software.
Ability to handle sensitive information with confidentiality.
Strong organizational and multitasking abilities.
Empathetic and patient-focused approach to care.
