The Commercial Legal Assistant is responsible for gathering information from potential clients about their legal matters, providing legal assistance with the support of attorneys, and scheduling consultations. The ideal applicant will have previous experience working for a law firm as a Commercial Legal Assistant. Job Description

 ROLE AND RESPONSIBILITIES 

  • Assist lawyers and case managers on day-to-day tasks.
  • Administrative duties include, but are not limited to, coordinating meetings, scheduling, answering, and directing telephone calls, maintaining, and organizing electronic case files, receiving, and sorting incoming and outgoing mail, receiving and organizing electronic service of Court pleadings, and updating files with case status and information.
  • Compiling and organizing documents, preparing binders and/or folders as needed.
  • Requesting and organizing records, bills, documents, and other materials.
  • Calendaring and tracking deadlines and scheduled events, including Court appearances, and ensuring legal documents are filed in a timely manner.
  • Maintain strict confidentiality of organizational and client information.
  • Communicate with prospective clients and existing clients in-person, over the phone, and via email.
  • Answer basic questions regarding the attorney's qualifications and services offered.
  • Conduct screening interviews, gather basic case facts, identify basic legal needs.
  • Give limited legal assistance under the direction and supervision of attorneys.
  • Facilitate communication between clients and attorneys by scanning documents, obtaining release forms, and conducting conflict checks.
  • Create, maintain, and keep documentation related to actions taken as part of the intake process. This includes filling/filing intake forms and maintaining correspondence.
  • Ensure that case files are complete with all conclusions and findings documented in their respected fields.
  • Highly organized, detail oriented with exceptional leadership and interpersonal skills and a strong customer-service orientation.
  • Excellent written and verbal communication skills with spoken and written fluency in English.
  • Strong analytical and problem-solving skills required.
  • Must be able to multitask and handle high-stress, sensitive situations with a high degree of confidentiality.
  • Desire to learn new disciplines and become more knowledgeable and proficient in additional practice areas.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

  • Prior Commercial Legal Assistant experience is a must.
  • Highly organized, detail-oriented with exceptional leadership and interpersonal skills and a strong customer-service orientation.
  • Excellent written and verbal communication skills with spoken and written fluency in English.
  • Strong analytical and problem-solving skills are required.
  • Must be able to multitask and handle high-stress, sensitive situations with a high degree of confidentiality.
  • Computer proficiency, including familiarity with Microsoft Office applications, Outlook, and Excel.
  • Proficiency or willingness to learn intake management and case management software platforms.
  • The ability to work well under pressure, and to learn and retain new information.
  • Must thrive in a team environment.
  • Reliable and dependable.
  • Ability to type at least 45 WPM with excellent writing skills while navigating through multiple software applications.

PREFERRED SKILLS

  • Desire to learn new disciplines and become more knowledgeable and proficient in additional practice areas.
  • Bi-lingual (proficient in both English, Spanish) speakers/writers strongly preferred but not required.
  • Possesses familiarity with Commercial legal terminology and business practices.
