Director of Disbursements & Systems

Job Summary:

The Director of Disbursements & Systems is a key leadership role within the Finance Department, responsible for overseeing the efficient and accurate disbursement of funds, managing financial systems, and improving the internal processes. This position requires a strategic thinker with a strong understanding of financial processes, technology, and regulatory requirements. In this key role, this individual will direct all systems, transactions and operational activities which include accounts payable, travel and expense program, corporate card program, payroll, and time and attendance system. The Director will lead a team of 10 through two direct reports. The successful candidate will be a driver of transformation and manage change initiatives to ensure successful implementation. The Director will provide oversight to managers on day-to-day operations to support the business strategies ensuring continuous improvement and exceptional customer service. The Director will be responsible for evaluating, developing, and implementing disbursement policies and procedures. The Director will have strong experience in working collaboratively and effectively with widely diverse constituent groups, including volunteer leadership.

Key Responsibilities:

Disbursement Management:

  • Develop and implement strategies for optimizing the disbursement process to ensure accuracy, efficiency, and compliance.
  • Oversee the disbursement of funds, including payroll, vendor payments, and other financial transactions.
  • Monitor disbursement trends and recommend improvements to enhance financial controls.

Financial Systems Oversight:

  • Manage and optimize financial systems to support disbursement processes, ensuring they align with organizational goals.
  • Collaborate with IT and other relevant departments to implement, upgrade, or customize financial software systems.
  • Stay abreast of emerging technologies and best practices in financial systems.

Team Leadership:

  • Build and lead a high-performing team responsible for disbursement activities.
  • Provide mentorship, training, and professional development opportunities for team members.
  • Foster a collaborative and inclusive team culture.

Process Improvement:

  • Continuously evaluate and enhance disbursement processes for increased efficiency and accuracy.
  • Implement automation and technology solutions to streamline financial workflows.
  • Collaborate with cross-functional teams to identify and implement process improvements.

Financial Reporting:

  • Oversee the generation of financial reports related to disbursements and financial systems.
  • Provide accurate and timely financial information to support decision-making.
  • Collaborate with other finance leaders to ensure cohesive and accurate financial reporting.

Qualifications:

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field. MBA or relevant professional certification (e.g., CPA, CMA) is a plus.
  • Minimum of ten years of experience with at least eight years in a leadership role. Non-profit or university accounting experience preferred.
  • Experience and knowledge of procure-to-pay, including travel and expense.
  • Extensive experience in designing new processes and integrating technology to provide services in finance, accounts payable, payroll and display measurable improvement in customer satisfaction.
  • Proven ability to mentor and develop people.
  • Strong project management skills and change management skills.
  • Experienced with audits, internal controls, large financial systems, and processes.
  • Demonstrated leadership experience with a track record of building and managing high-performing teams.
  • Excellent analytical, problem-solving, and decision-making skills.
  • Advanced knowledge of financial software and systems.
