As an Administrative Assistant, you will provide essential administrative support to ensure smooth office operations, effective communication between teams, and excellent customer service. Key Responsibilities:

  • Perform general office duties, including answering phones, managing emails, filing, and data entry.
  • Coordinate and schedule appointments, meetings, and job site visits for roofing teams and management.
  • Maintain accurate records of client information, contracts, and project documentation.
  • Assist in the preparation of estimates, invoices, and other customer communications.
  • Serve as the first point of contact for customers, providing information and resolving inquiries regarding roofing services.
  • Manage office supplies inventory and place orders as needed.
  • Assist with payroll processing, timekeeping, and other human resources-related tasks.
  • Support marketing efforts by updating social media platforms and assisting with email campaigns.
  • Handle incoming and outgoing mail, packages, and correspondence.
  • Collaborate with other departments to facilitate workflow and ensure timely completion of projects.
  • Perform other administrative tasks as required by the office manager or supervisor.

Qualifications:

  • High school diploma or equivalent; additional education in business administration or a related field is a plus.
  • Proven experience as an administrative assistant or in a similar role, preferably in the construction or roofing industry.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
  • Strong organizational and multitasking skills with high attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Strong customer service orientation.
  • Familiarity with basic bookkeeping and payroll functions is an advantage.
