Position Summary: The Assistant Property Manager supports the Property Manager in the effective management of residential properties, ensuring tenant satisfaction and smooth operational processes. This role involves managing tenant relations, administrative tasks, and leasing activities.

Key Responsibilities:

1. Tenant Relations:

  • Address tenant inquiries and concerns promptly and professionally.
  • Coordinate tenant move-ins and move-outs, including conducting walkthroughs and inspections.
  • Assist in preparing and executing lease agreements and renewals.
  • Foster positive relationships with tenants to maintain high satisfaction levels.
  • Support the Property Manager in organizing resident events.

2. Administrative Duties:

  • Maintain accurate records of tenants, leases, and maintenance requests.
  • Process rental applications and conduct background checks efficiently.
  • Ensure property management systems are consistently updated with current information.
  • Answer phone calls and manage communications with tenants and vendors.

3. Property Maintenance:

  • Assist in coordinating and scheduling maintenance and repairs with vendors and contractors.
  • Conduct regular property inspections to ensure compliance with safety standards and lease agreements.
  • Monitor and ensure timely completion of work orders and maintenance requests.
  • Support the management of preventative maintenance programs.

4. Financial Management:

  • Assist in the collection and recording of rent payments and related fees.
  • Follow up on delinquent accounts and address late payment issues.
  • Help manage the property's budget and control operational expenses.

5. Compliance and Risk Management:

  • Ensure compliance with local, state, and federal regulations, including fair housing laws.
  • Assist in preparing and managing property insurance claims.
  • Implement and enforce property rules and regulations consistently.

6. Marketing and Leasing:

  • Support marketing efforts to attract new tenants to the property.
  • Assist in preparing marketing materials and advertisements.
  • Conduct property tours for prospective tenants to showcase available units.

Qualifications:

  • Education: High school diploma or equivalent required; associate degree or higher preferred.
  • Experience: Minimum of 2 years of experience in property management or a related field.

Skills:

  • Excellent communication and interpersonal skills.
  • Strong organizational and time management abilities.
  • Proficient in property management software; experience with Yardi Voyager preferred.
  • Proficient in MS Office Suite.

  • Ability to work both independently and collaboratively within a team.
  • Strong problem-solving skills and attention to detail.
  • Capacity to handle multiple tasks and prioritize effectively.

Working Conditions:

  • Primarily office-based with regular property inspections.
  • Occasional evening and weekend work may be required for emergencies or special projects.

Physical Requirements:

  • Ability to lift and carry items up to 25 pounds.
  • Ability to stand, walk, and sit for extended periods.
  • Ability to climb three flights of stairs as needed.
