The Ziv, Gottlieb, Bernstein Team at Douglas Elliman is looking to hire an entrepreneurial Operations Assistant to support the everyday activities of the team. The team has over 15 years of experience and completed more than $500M in real estate sales. This is an excellent opportunity to learn the ins and outs of luxury, residential real estate inclusive of condos, co-ops, new developments, buyers, sellers and developer representation.
The successful candidate must be resourceful, detail oriented, highly organized, technologically savvy, polished and ideally have an understanding of the Real Estate industry and a passion for building a successful career within it.
Looking for for a true team player who loves working with people and thrives in a dynamic and vibrant working environment. Someone who is an excellent communicator who can quarterback the busy sales team and its Partners with both day-to-day business as usual requests and basic marketing efforts.
The position requires 2-3 years of administrative support experience post-graduation, and strong interpersonal skills.
RESPONSIBILITIES
Learn the ins and outs of Elliman’s systems
Stay on top of real estate markets trends and best practices
Keep listings updated on two databases
Craft quick interesting point of view, or “fun-fact” for each listings and post/promote on social media as needed
Provide support to Sales Associates during the sales process, including the preparation of documents, scheduling appointments and sending emails
Assist with the preparation and organization of Board Applications, leases and riders, review of listings for accuracy, pitch packages, property searches, market analysis, and comp listings
Book vendors as needed (cleaning crews, chauffeur, etc.)
Assist in presentation preparation for owners, developers and prospective clients
Maintain client database (CRM) and communicate with clients, other agents and service providers throughout the process
Assist with open houses and brokers' events, including scheduling, resourcing and follow up
Prepare and execute outreach and mailers, both electronic and hard copy
MUST be highly trustworthy and adhere to high confidentiality
REQUIREMENTS
2-3 years of administrative experience in roles that interfaced with external clients and multiple team members (real estate experience preferred)
Dependable – strong initiative and the ability to work independently and with minimal guidance
Solid time management skills – ability to handle multiple concurrent assignments and to switch between tasks, while retaining a high degree of accuracy and calm
Excellent organizational, planning and scheduling abilities
Polished communication skills (written and verbal) and a human touch
Highly discrete with our clientele and their sensitive information, especially as many of them are high net worth with very private lives
Comfort with stepping outside your regular duties as needed
Superior skills in MS Word, Excel, Outlook and PowerPoint, CRM software
College degree preferred or equivalent experience
Licensed NY Real Estate Salesperson, or willing to pursue License
EXPECTATIONS
Job Type: Full-time (5 days in the office – more flexible schedule to be discussed after first 6 months)
Full Time Hours 9:00AM - 6:00PM, with a degree of variability
Compensation: $80,000 per year with optional bonuses (to be determined at offer time and in conversation with candidate)
Office: Elliman’s Flatiron location, 5ht Avenue between 18th and 19th Street
