Position Summary

The Product Information Specialist is responsible for providing assistance in the vendor and product management area to ensure the objectives of the vendor management, costing, pricing, and product information plans are met through updates and maintenance of customer contracts, assisting in data management, supporting vendor initiatives and through appropriate branch and customer communications.

Essential Job Function

  1. Accurately maintains master product record information from new product introduction to on-going maintenance of data and images.
  2. Documents processes for the migration from the Johnstone Supply programming to direct data feeds for Corporate files into PDW.
  3. Makes recommendations for and contributes to automated processes for updating the product file, attributes, pricing matrices, and other associated processes.
  4. Works in close partnership with cross-functional teams across the organization to define business rules and requirements for the data transformation process.
  5. Incorporates supplier cost changes from the supplier to PDW to the Eclipse Product and Matrix files. Establishes relationships with key individuals at the suppliers to ensure timely and efficient flow of information for updates. Monitors cost variances to check for accuracy of data.
  6. Processes and supports PAP and other department processes. Makes recommendations for standards and policies in product data governance and readiness.
  7. Works with Buyers to identify opportunities to create consistency across the product file. Utilizes PDW and other systems to create consistent descriptions and other key fields to enhance the searching experience.
  8. Work with Product Managers to identify and upload substitutes, related items, tagalong items and other product file related needs. Review communications from Johnstone Supply corporate office and vendor partners to identify necessary updates.
  9. Works collaboratively with Vendor Management, Pricing, IT, and Finance teams to identify items with cost changes affecting customer pricing, identify cause of EDI variances, and improve matching of PO to AP invoice reconciliation. Assists branches as needed.
  10. Generates reports, provides analysis, and assists with projects as assigned.
  11. Performs other duties as assigned for the smooth and efficient operation of the department and to maintain a high level of support and service in achieving the Ware Group’s business operations.

Education, Work Experience & Specialized Skills, or Knowledge

  • A four-year (BA) degree in business administration, marketing, data analytics, or related field is preferred. May substitute years of experience for college education with High School diploma or equivalent required.
  • Able to demonstrate competency across primary Microsoft Office software products required. Strong Excel and database skills required.
  • Attention to accuracy and high ability of detail orientation.
  • Experience with the maintenance of product information or related field.
  • Excellent interpersonal and communication skills, both written and oral, with ability to communicate proficiently in English in both formats.
