Summary of Position

The Sales & Marketing Office Manager manages and executes the overall workflow as it relates to supporting the sales, marketing and catering teams. With the ebbs and flows of work throughout the year, ensures all Coordinator level positions in the division are cross-trained and capable of assisting in executing any administrative tasks. Is the “go to” manager for all overall office needs; i.e. scheduling, payroll, participation in hotel events, etc.

Roles and Responsibilities

Job duties include, although are not limited to:

  • Ensures all daily administrative duties are executed
  • Assumes responsibility to execute all administrative tasks required by DOSM and Director positions
  • Maintains office coverage schedule updating shared calendar
  • Understands all systems including Opera, SF/Delphi
  • Has advanced technical skills in Outlook, Word, Excel and PowerPoint
  • Maintains all SOP’s ensuring all team members receive, sign and follow
  • Works with DOSM ensuring all weekly, monthly, quarterly reports are submitted accurately and on-time
  • Arranges for or trains all Coordinator positions ensuring cross-training on tasks by all is #1 priority
  • Communicate effectively with guests and Colleagues with a friendly, courteous and professional demeanor.
  • Respond to the needs of clients and guests in a timely manner.
  • Secure room blocks for both internal and external team events.
  • Completes detailed BEOs for any sales and marketing events approved by DOSM or DOM
  • Answer the phone in a pleasant manner and answer questions as they relate to the hotel (hours of operations, amenities, outlets, etc.)
  • Serves as the point of contact between clients/guests and team members via-email or phone
  • Develop and maintain positive working relationships with others, and support team to reach common goals.
  • Generating reports, preparing proposals, collecting details through research and coordination as requested
  • Assists in the execution of group resumes for FAMS, completing site alerts, writing amenity cards, etc. Writing Group Resumes (FAM Trips)
  • Ensure our inventory of office supplies and site amenities are maintained. Alert management when inventory is low.
  • Work with Front Office and HSKP to ensure showrooms are prepared & inspected daily.
  • Gather gifts for client site visits, ensure cards and business cards are provided for client amenities
  • Performs other related duties as assigned by DOSM

QUALIFICATIONS:

  • Experience in a supporting role and an administrative background required
  • High school diploma is required and a bachelor's degree or associate degree in hospitality or culinary arts is preferred.
  • Prior experience as a sales coordinator, or other relevant position in the hospitality
  • Related experience in a luxury establishment is a plus.
