DUTIES:           

Reporting to the Program Director, provide clerical/administrative support for the Summer Youth Employment Program.

  • Responsible for participant Outreach plan and implementation; design logistics of application pick up and return.
  • Responsible for maintaining the participant records; arranging/scheduling personnel interviews for seasonal SYEP staff, and formulating vacancy announcements for advertisement on a timely basis.
  • Responsible for arranging meetings and scheduling conferences for the Program Director.Assisting the Program Director with various projects e.g. preparing proposals; staff, participant, and worksite orientation agendas and schedules.
  • Preparation of the bi-weekly participant payroll, reports for SYEP, assisting with SYEP participant application data entry, participant enrollment, creating various electronic forms for program use, create and maintaining administrative files for various purposes. Telephone coverage and message routing/rerouting, providing timely response to correspondence, preparing requests, ordering supplies, and record keeping.
  • Liaise with the seasonal Program Coordinators, Worksite Supervisors, Participants, and their parents, assisting them with relevant program data elements.
  • Provides seasonal Program Coordinator assignments, conducts data collection reports, coordinates attendance, ensures weekly site monitoring reports, makes worksite visits as needed, and provides supervision of the day-to-day activities.
  • Responsible for reviewing data entry of the weekly Monitoring reports.Responsible for meeting regularly with the seasonal Program Coordinators to discuss participant work site assignments.
  • Works with Clerks to coordinate and schedule application data entry; schedules participant enrollment interviews.
  • Participant Orientations and Participant Assignments.
  • Responsible for supply and disbursement of all forms relevant to the program.

 

MINIMUM REQUIREMENTS:

  •  Minimum of a Bachelor’s Degree or at least 2 years of College with a background in Human Resources/Business Administration.
  • A two (2) year work history with computer experience is required.
  • Knowledge of SEL and PYD.
  • Ability to meet deadlines and to work a flexible and occasionally hectic schedule.
  • Ability to work effectively with people of diverse backgrounds.
  • Knowledge of East Flatbush, Flatbush, Crown Heights, Brownsville, and Canarsie neighborhoods.
