We are seeking a dynamic AR/AP Associate to join our team. A successful candidate will have a genuine passion for the hospitality industry and an entrepreneurial spirit.

Responsibilities
  1. Must be courteous and gracious, maintaining a professional demeanor at all times
  2. Establish and maintain good communications and team work with fellow colleagues and other departments within the hotel
  3. Receive and verify invoices, check requests, and expense reports
  4. Verify that transactions comply with financial policies and procedures, i.e. proper approvals are obtained, appropriate support documentation is attached, prices and quantities are verified, etc.
  5. Prepare batches of invoices for entry into accounting systems
  6. Enter invoices for payment in a timely manner, ensuring all expenses are accounted for in the correct month
  7. Manage weekly check runs and communicate with Director of Finance to ensure cash flow is being monitored
  8. Prepare and distribute vendor checks
  9. Record ACH and wire payments in accounting systems and handle reconciliation of credit card charges and payments
  10. Maintain the accounts payable and receivable aging lists
  11. Maintain and analyze general ledger, making corrections as necessary including making journal entries for any necessary accruals
  12. Implement and maintain organization of workspace and vendor files
  13. Keep AP related filing up to date to facilitate ease of research
  14. Reconcile vendor statements and assist in researching and resolving discrepancies which includes requesting missing invoices from vendors
  15. Correspond with vendors, respond to inquiries and maintain positive vendor relationships
  16. Perform cash handling functions for the hotel and reconcile all cash dropped at the front desk
  17. Post city ledger payments in property management system, reconcile and bill all city ledger accounts
  18. Perform follow-up billing, credit collection documentation and inform Director of Finance of any potential uncollected accounts
  19. Assist with reimbursable invoicing
  20. Set up new accounts in accordance with established credit policy
  21. Process month-end and year-end AP and AR closing
  22. Provide month-end support to accounting team
  23. Prepare and distribute yearly 1099s
  24. Actively participate in the management of the PO System and corporate policies and procedures
  25. Take ownership of all accounting issues brought to your attention by guests
  26. Maintain an increased awareness of safety issues throughout the hotel
  27. Participate in scheduled departmental and administrative meetings as requested
  28. Adhere to all standards of operations, policies and procedures, manuals, memos and verbal instructions
  29. Be familiar with all safety and emergency procedures including OSHA requirements
