The Events Coordinator is responsible for planning and executing events and other donor engagement initiatives for Humanity of Northern Fox Valley.

The Events Coordinator reports to the Director of Development and collaborates with the Development team and volunteer committees to plan and implement annual special events to support the overall revenue goals of the organization. The Events Coordinator supports the development team’s efforts to grow revenue, increase community involvement, and promote the Habitat mission. The Events Coordinator will participate in budgeting, planning, communications, overall event management, and be a key team member of the development team.

Key Responsibilities:

  • Plan, organize, coordinate, and direct events.
  • With the support of the Development team and Events Committee, secure sponsorships for all events and advance peer-to-peer fundraising efforts.
  • Responsible for event management from start to finish including but not limited to, renting equipment, hiring caterers, decorations and logistics to ensure seamless execution, financial success and positive brand experience.
  • Coordinate production of event invitations, promotional items, signage, and programs.
  • Maintain records on event activities, progress, status, and post event summary. Prepare post-event budget vs actuals.
  • Negotiate and contract with vendors for a variety of goods and services related to event planning.
  • Monitor delivery of goods and services to ensure contract terms are satisfied.
  • Develop and maintain an extensive network of contacts, both internal and external, to facilitate event coordination.
  • Develop and implement social media posts, videos and graphics.
  • Promote the organization and its programs across various media outlets including television, radio, newspapers, etc. Write, edit and distribute press releases and media advisories.
  • Develop and maintain a media contact list that represents the major and minor media markets.
  • Maintain a ‘team first; outlook, supporting the success of the team and the mission in attitude, ideas, and actions; lead by example and with active, creative input for growing and improving the organization.
  • Perform other related duties as assigned.

Qualifications and Skills:

  • 2 years of event-planning or project planning experience, preferably with a nonprofit organization.
  • Event experience with a proven and documented track record of event management, sponsorship solicitation and procurement, marketing and social media.
  • Experience with managing committees, team members, volunteers, and outside vendors and relationships.
  • Experience with successful project management and effectively leading projects start to finish.
  • High level of computer literacy, including Microsoft Office and CRM systems.
  • Excellent communication skills – written and verbal.
  • Self-motivated, detail oriented, highly organized.
  • Demonstrates experience and excellent interpersonal skills to establish, build, and maintain effective working relationships with colleagues, board/committee members, donors, and volunteers.
  • Understanding and enthusiasm for Habitat for Humanity philosophy and willingness to advocate its mission.
  • Available for evening and weekend events as needed
