Job Summary:
Under the direction of the Contract Pricing and Reimbursements Supervisor, the Administrative Analyst will provide support to the Program Analyst department. This position will work in a collaborative and supportive environment to assist customers and Midwest Veterinary Supply Inc. Team members. Responsible for ensuring the company is reimbursed for outstanding vendor balances owed subsequently lost dollars affecting the bottom line. Process credits, rebills, and manage monthly reports.
Essential Job Functions:
- Become an expert and maintain and update customer master database using standard Animal Health Industry Number’s (AHN’s).
- Learn and master monthly Free Goods report and prepare reimbursement requests. Confirm that orders reflecting items invoiced at no charge correctly followed the promotional terms set by the manufacturer. Reconcile reports and provide issue resolution on problem orders that did not follow the promotion. Summarize each report indicating the final claim amount and submit it to the manufacturer for reimbursement. Record and maintain documentation of all payment requests made.
- Process credits and rebills from the Contracts mailbox and to correct errors for various terms, contract and reimbursement requests and issues
- Manage incoming emails that are received in the department’s centralized email box. Evaluate and work with fellow team members on responding and handling requests.
Job Requirements & Qualifications:
- A high school diploma or equivalent (GED) is required
- A two-year degree in a business-related field is preferred
- Must be able to perform each essential function satisfactorily. • Must possess an understanding of pricing and margin metrics. • Must be proficient in Microsoft Excel functions, including VLOOKUP, conditional formatting, and other Logic functions.
- A minimum of two years’ experience performing accounting related duties in accounting or accounts receivable reconciliations, and/or processing reimbursement programs is preferred.
- Experience providing product price/cost analyses in a distribution environment strongly preferred.
- Experience providing excellent customer service and building relationships with external vendors.
- Ability to read, write and speak English
- Ability to work in a fast paced and constantly changing environment.
- Cognos experience helpful
- Ability to complete tasks in a timely manner and meet deadlines
- A self-starter who can identify, prioritize, and accomplish multiple tasks with a very high attention to detail.
- Sound analytical skills, ability to manipulate and interpret data.
- Excellent written and verbal communication skills • Veterinary product knowledge a plus
- Ability to read and interpret documents such as safety rules, operating instructions, and procedural manuals
- Calculator 10 keypad by touch
Mental & Physical Demands:
- Analytical ability with attention to detail• Regular interaction with people, team-player
- Frequent deadlines must be met requiring a fast pace of work and stress
- Continuous use of hands for writing and use of computer keyboard, working with a relevant volume of data to include alpha and numeric detail
- Continuous use of a computer monitor requiring close vision
- Ability to use a telephone – listening and speaking
- Ability to work at a desk throughout the day

Work Environment:
This is a Hybrid position. Work is typically performed Monday through Friday in hybrid environment. Working more than 40 hours per workweek may be required.
