Location: Riverton, Wyoming

Description:

The purpose of the Patient Care Coordinator is to help patients feel comfortable in our practice and to
assist them in reaching their dental goals by ensuring an efficient process from initial contact through
scheduling, consultation, case presentation, and treatment. The Patient Care Coordinator gives special
attention to those considering or inquiring about the practice or services to help them become
patients and support them every step of the way.

Qualifications:

  • High school diploma required. College credits and/or degree preferred
  • Experience in the dental profession is preferred
  • Compliance with state dental practice requirements (i.e., x-ray requirements, OSHA training)
  • X-ray certification required (May be obtained within 6 months after hire)
  • CPR (BLS) Certification current
  • Superior interpersonal and customer service skills
  • Excellent verbal and written communication skills
  • A professional demeanor
  • Ability to maintain confidentiality
  • Strong time management abilities
  • Ability to work collaboratively and contribute positively to a team environment

Objectives and Responsibilities:

  • Establish and maintain a trusting and supportive relationship with patients
  • Build the value of the patient's experience and service(s)
  • Take responsibility for the entire patient base
  • Welcome patients in person or on the phone, with a friendly positive demeanor
  • Maximize the doctor's schedule and production time
  • Take radiographs as needed
  • Create and present dental care treatment plans for patients
  • Ensure that patients are scheduled for dental hygiene and/or treatment at the conclusion of
    each appointment
  • Complete general scheduling, confirmation, and communication duties by:
    • Checking messages each morning and following up with callers
    • Consistently checking email
    • Answering questions from patients about treatment over the phone
    • Scheduling and rescheduling appointments
    • Ensuring appointments are scheduled with the correct provider, proper procedures are attached, and the time length is correct
    • Follow up with patients with diagnosed and unscheduled treatment

Prepares for visits by:

  • Ensuring x-rays and other information have been received before the patient's arrival
  • Ensuring new patients have received new patient information and health history forms
    in advance of the initial visit
  • Verifying, and attaching, patient insurance information and that their plans are accurate
    and active
  • Confirm appointments (text or phone) before noon
  • Verify and confirm lab cases have been delivered before confirmation calls / reminders

Office Participation

  • Be an active participant in morning huddles, team meetings, as well as community engagement
    activities/opportunities
  • Promote team concept by interacting positively with others in the office
  • Be willing to offer help and be proactive in filling areas of need in the office
  • Communicate clearly with all staff in regard to absence
  • Seek out continuing education opportunities to improve skills
  • Other duties that may be assigned by the supervisor

Metrics

  • The patient coordinator monitors success by watching the following key performance indicators
    (KPIs):
    • New Patients
    • Hygiene Reappointment Percentage
    • Treatment Acceptance Percentage
    • An upward trend of these metrics on a graph would indicate that the patient coordinator is
      successfully meeting the objectives of the position and the needs of the practice.
