JOB SUMMARY:

The Sales Service Administrator is both an internal and external customer facing role focused on customer interactions related to the organization of preparation, shipment, and service of equipment sold by Lumibird Medical. This role will take calls, initiate service orders, and schedule shipment activities for customer's equipment, parts, and loaner units. The Sales Service Administrator will also coordinate the repair of equipment in-house as well as field service repairs. We are looking for someone with office experience who is detail oriented, organized, and fits our culture of treating our clients and fellow colleagues with integrity. This role does have the opportunity to be a hybrid position after role-specific competencies have been achieved. 


ESSENTIAL FUNCTIONS:

  • Coordinate repairs between technicians and clients; including creating service requests, invoicing upon service completion, file maintenance, and reconciliation 
  • Track and invoices Extended Service contracts for current contract holders  
  • Assist with accounts receivable invoices
    • Researches and resolves service customers with past due balances and disputed amounts
    • Submits weekly report including notes on current status on past due service customer invoices
  • Assist with accounts payables invoices
    • Match the quoted amount from the field service tech matches A/P invoice for that repair Request A/P invoices from service technicians when missing
    • Complete service accrual at month end if necessary
  • Ship and track loaner equipment sent to clients while their equipment is in repair
  • Manage client-owned equipment from time it is sent back for repair to when the client receives it back from the technician
  • Perform general office assistance as required
  • Perform other related duties as required
  • Work with distributor to provide them with updates and manage sales and purchase orders

 

QUALIFICATIONS:

  • Possess strong oral, written, and interpersonal skills
  • Experience with Microsoft Office including Outlook, Word, Excel, Access, PowerPoint
  • Experience using a CRM system (Salesforce) and an ERP system is highly desired 

Other Qualities:

  • Must be detail oriented, highly organized and possess the ability to multi-task
  • Must possess ability to handle all aspects of relationships with internal and external customers as well as staff in multiple locations globally
  • Must possess ability to adapt to new technologies, systems, and software applications
  • Must possess ability to handle high pressure situations and effectively prioritize workload
