The Sr. Clinical Operations Manager (COM) has responsibility for managing Boomerang Healthcare clinics, leads a multi-disciplinary team of clinic-based employees (excluding physicians), both BHC employees, and independent contractors where applicable. Provides overall operational and administrative leadership to all assigned employees, ensuring that each employee is clear on their daily priorities and performance expectations.

What you will do

Oversees and provides direction and support to operational clinic functions, to include Front Desk, Medical Assistants, Patient Communications, and Provider Support employees. Ensures that all clinic employees consistently communicate with patients, visitors, and staff in a courteous, respectful, supportive, and professional manner

Day to Day duties:

Prioritization

  • Sets daily and weekly priorities for assigned employees
  • Resolves workload prioritization conflicts, providing clear direction on daily priorities

Scheduling

  • Maintains staffing levels necessary for efficient and cost-effective delivery of clinical services and operational support; ensures that employee scheduling and availability meets patient throughput requirements
  • Processes time-off requests and approvals, ensuring clinic staffing levels are maintained
  • Identifies current/projected staffing gaps and develops/communicates proposed staffing and scheduling solutions to Area Director
  • Pending staffing gaps and COM’s technical skills, assists providers with Medical Assistant duties if requested

Performance Management

  • Continuously monitors KPIs, conducts data analytics, and utilizes additional management practices to track and maximize clinic operational performance
  • Ensures efficient and effective daily operations of all clinic services, accountable for achievement of patient throughput and cost containment targets
  • Monitors individual employee performance; provides ongoing coaching and feedback to support each employee’s performance (work quality, output, patient-centric behavioral expectations)
  • Coordinates performance management, discipline, terminations and other related staffing needs in collaboration with Human Resources
  • Identifies and quickly communicates issues that negatively impact clinic performance to Area Director

Administration

  • Provides administrative, operational, and clinical support to all employees, as appropriate
  • Manages, supervises, and maintains day-to-day office operations
  • Leads weekly team meetings; ensures that all clinic employees are informed of the office’s needs, policies, procedures, and general updates
  • Maintains clinic inventory: medical supplies, office supplies, other required materials

Safety/Compliance

  • Ensures that all clinic employees maintain compliance with all state and Federal regulatory laws, and company standards and protocols
  • Maintains a safe and risk-free environment by ensuring that all safety and risk management policies and procedures are reviewed and adhered to on a regular schedule
  • Supports and maintains all aspects of BHC’s Compliance Program and acts as the office’s Compliance Liaison

FUNCTIONAL LEADERSHIP RESPONSIBILITIES:

  • Talent Acquisition: Forecasts estimated incremental headcount (employee and independent contractors) needs for assigned clinic; participates in candidate interviews/selection process; responsible for effectively onboarding new employees, and independent contractors, if applicable
  • Talent Development: Provides ongoing coaching, feedback, and recognition to assigned employees; identifies and communicates training priorities to manager; partners with applicable internal and external resources to ensure that training efforts are yielding desired performance outcomes
  • Performance Management: Defines specific performance expectations for all assigned employees; ensures that there is clear alignment with each employee around annual goals and the specific measures that will be used to evaluate employee and/or independent contractor performance; prepares and delivers annual performance evaluations to BHC employees
  • Culture: Highlights the importance of each employee’s contribution to BHC’s Vision and Mission. Ensures that all employees clearly understand the importance of providing professional, courteous, and compassionate care to all patients. Employs leadership practices that recognize and reward appropriate initiative and contribution; drives an accountable culture through one’s own words and actions

Qualifications

  • Minimum 3+ years of experience in clinical operations management of a high volume or multi-site territory required
  • Minimum of 2 years of experience managing a multi-million dollar P&L
  • Excellent communication skills, verbal and written
  • Ability to type 45+ wpm
  • Proficient in Windows XP, Microsoft Office, Electronic Medical record systems
  • Experience with EMR/EHR systems
  • Ability to multi-task
  • Ability to follow directives
  • Excellent customer service
  • Professional demeanor and appearance
  • Efficient with time management
  • Experience working in a medical setting
  • Previous Management/Supervisory Experience required
