As a Medical Intake Coordinator, you will facilitate and coordinate the timely evaluation and acceptance of patients referred for service to Medix Infusion. You will communicate professionally with referral sources and patients, ensuring a seamless experience. The Intake Coordinator will collaborate closely with the Insurance, Scheduling, Pharmacy, and Clinical departments to manage patient care and uphold our high standards of compassionate service.


Medix Infusion is a technology-driven healthcare platform enhancing patient care and access to infusion therapies, specializing in disease management and infusion pharmacy services for chronic and acutely ill patients, especially in underserved communities. We offer personalized home and in-suite infusion therapies, ensuring convenience and comfort. Our expert team provides a comprehensive range of treatments, including anti-infectives, biologics, IVIG, and other injectables, making each patient’s journey as smooth as possible.


Key Responsibilities:

  • Document timely and accurately in the EMR system.
  • Coordinate patient care with multi-disciplinary teams, including home health, pharmacy, and insurance.
  • Collaborate with medical providers to obtain necessary documentation for timely referral processing.
  • Maintain knowledge of reimbursement policies.
  • Communicate referral status with patients and provide timely updates.
  • Enter referral information promptly in the EMR system.
  • Complete follow-up tasks as assigned.
  • Ensure work is completed promptly to prevent delays in patient care.
  • Attend departmental meetings and in-services as requested.
  • Assist with the orientation and training of new staff.
  • Demonstrate courteous, compassionate, and professional behavior at all times.
  • Proficiently use Outlook, Microsoft Teams, Word, and Excel.
  • Perform other duties as assigned.

Required Qualifications:

  • High School Diploma or equivalent.
  • Preferred Minimum of two (2) years of experience collecting referral information in the healthcare market.
  • Experience working with all payer types, including Medicare, Medicaid, and commercial insurance companies.
  • Strong verbal communication skills.
  • Ability to stay organized and perform well under fast-paced conditions.
  • Prior healthcare experience with infusion services preferred.
  • Excellent interpersonal skills for interaction with Medix Infusion staff, vendors, and patients.
  • Ability to work as a team member and develop productive and cooperative working relationships with all team members.
  • Competent in using company email and Microsoft Teams for communication and accessing company policies.
  • Competent in using company self-service payroll software (time and attendance, benefits, pay statements).
  • Proficient in Microsoft Office products and able to navigate Internet Explorer.
  • Proficient in typing, word processing (Microsoft Outlook/Express, Word, Excel), and familiar with office equipment.
  • Sensitivity to cultural and language differences as they pertain to patient care delivery.
  • Ability to perform basic mathematical computations.

While performing the duties of this job, the employee may be required to frequently stand, walk, sit, bend, twist, talk, and hear. There may be prolonged periods of sitting, keyboarding, and reading. The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include reading, distance, computer, and color vision. Talking and hearing are essential to communicate with patients, vendors, and staff.
