We are seeking an experienced HR/Payroll Specialist to join our organization. In this position, you will process payroll, ensuring accurate and timely processing. The HR/Payroll Specialist will process bi-weekly payroll for employees using ADP for salaried, hourly and commissioned employees. You must possess a strong understanding of payroll, benefits, 401k, and workers compensation. Needs to pay attention to detail, and excellent organizational skills to effectively execute payroll & human resources operations.

Purpose and role of job:

This position supports the HR Operations Manager and Sr. Director of HR in all aspects of managing the daily payroll and human resources duties. This role will adhere to payroll and HR programs, policies, and procedures. Maintaining good communication and a positive relationship with salaried and hourly team members to promote employee satisfaction. Work as an Employee Advocate to foster effective employee relationships.

Principal Accountabilities/ Responsibilities:

· Advises managers and employees regarding time and attendance.

· Processes bi-weekly multi-state regular payroll and a monthly commission payroll in a timely and accurate manner.

· Assist in implementing, enforcing, and administering policies; responds to inquiries regarding HR and Payroll policies and procedures.

· Acts as the primary contact for employee timesheets, payroll, and benefit inquiries.

· Reviews timesheets for bi- weekly payroll processing and communicates with employees/managers to ensure all employee time is accurately accounted for before payroll is processed.

· Maintains accurate payroll records including required payroll garnishments and benefits.

· Resolves any inconsistencies or discrepancies regarding Direct Deposit.

· Runs financial and operational reports by compiling summary data of earnings, headcount, state and federal taxes, deductions, PTO, disability, etc. as requested.

· Reconciles financial data and validates reports pre and post processing.

· Provides reporting to the business on time and attendance compliance issues such as lunch break penalties, timesheet attestations, timesheet approvals, and active employees with zero hours.

· Assists with the calculation of missed hours or payroll adjustments.

· Completes weekly contract labor reconciliation for all agency partners.

· Monitors the payroll inbox and responds to employee inquiries, escalating as needed.

· Follows appropriate state and federal taxation of employer paid benefits.

· Runs and reports on regular payroll data audits.

· Processes year-end reports, including W-2, 401K, etc.

· Processes manual checks when required (separations, retro adjustments, etc.).

· Processes bonus payments, as required.

· Processes all unemployment claims in a timely manner.

· Stays up to date with changes in labor laws and payroll-related legislation.

· Manages all leave of absences (FMLA, PDL, ADA, CFRA, Etc.)

· Manages the workers compensation cases. Handles the claims with carrier and provides managers with claim information regarding restrictions and return to work.

· Processes new hire benefit enrollments and life event changes.

· Processes evidence of insurability premium adjustments after provider approval.

· Reviews benefit file feed errors and discrepancies on a weekly basis.

· Assist with Holiday and Special Event activities.

· Maintains employee confidentiality and protects payroll operations by keeping all private information confidential.

· Other duties may be assigned to meet business needs.

Education and experience requirements:

· Bachelor’s degree in human resources, Business Administration, or a related field preferred.

· 2+ years multi-state payroll experience preferred.

· Knowledge of payroll & employment laws and regulations.

· Proficiency in HRIS and ADP software.

· Excellent communication, interpersonal, and problem-solving skills.

· Strong organizational and time management abilities.

Attention to detail and a commitment to maintaining confidentiality.

Work Environment:

Hybrid Schedule; M-F 8:30AM – 5:00PM

$28hr to $30hr hourly
