The Part-Time Coordinator role for the Mechanic Shop Operations supports the team with Scheduling, Customer Service, Inventory and Account Management, Clerical Duties and Reporting.

ESSENTIAL DUTIES

  • Answers incoming phone calls and responds to department emails
  • Works to obtain trailer details prior to arrival to the shop to ensure accurate recording/tracking to maintain work flow for the team
  • Writes up vehicle concerns accurately and clearly on repair order.
  • Work with management to establish an anticipated completion date and coordinate outside vendor assistance as needed
  • Notifies Supervisors of incoming work and scheduled appointments.
  • Checks on progress of repair(s) throughout the day and updates all necessary departments accordingly
  • Reviews repair orders to ensure that work is completed and additional work and authorization is noted. Closes repair order as appropriate.
  • Works with outside repair facilities to schedule repairs and payment in areas where there is not a shop.
  • In-Put “work pending” from vehicle reports sent to shop by drivers.
  • Provides a timely daily work in progress (WIP) and keeps the manager informed.
  • Controls spare inventory assigned to shop.
  • Works with Supervisor to create parts purchase orders.
  • Works with mechanics to monitor parts inventory and monthly physical part inventory.
  • Orders/purchase office supplies.
  • Handles special clerical projects as instructed by either the Supervisor and/or Shop Manager
  • Controls all posted documents, including time records, vehicle records and changes to parts inventory.
  • Files all documents.
  • Composes and prepares routine correspondence on a weekly base for Shop Manager
  • Other duties as assigned

Qualifications

  • High School Diploma
  • Preferred experience in an administrative role in Mechanic Shop/Transportation
  • Excellent Organizational Skills
  • Proficient in Microsoft Office
  • High Attention to Detail and ability to Multi-task
  • Ability to work in a fast past environment that continuously pivots to meet business needs
