Position Summary

As the Receptionist, you play an essential role handling front office duties, directing visitors appropriately, maintaining security, and the telecommunications system. Your role is also a support to the accounting team, ensuring smooth administrative operations. Understanding the importance of company first impressions and consistently following defined methods will lead to success in this role.

  • Welcome and greet visitors in a professional manner including over the phone interactions
  • Directs visitors to the appropriate place or person by managing a visitor log and maintaining security awareness
  • Maintains telecommunication system by following manufacturer's instructions for house phone and console operation
  • Perform basic clerical duties such as photocopying, filing, and scanning.
  • Answering, forwarding incoming calls, and relaying detailed messages accurately
  • Organizes the reception area, ensuring a safe and tidy environment
  • Contributes to team effort by accomplishing related results as needed.
  • Prepares and issues customer invoices accurately and in a timely manner
  • Maintains accurate records of invoicing activities
  • Collaborates with the accounting department to ensure financial accuracy and efficiency

Knowledge & Skills

  • Customer service orientation and a professional appearance
  • Proficiency with office machines (e.g., fax, printer)

Qualifications

  • High school diploma or GED required, additional certification in office management or accounting is preferred
  • Minimum of 1-year proven work experience as a receptionist or similar role is required
  • Minimum of 1-year experience with multi-line phone system required
  • Experience with invoicing and basic accounting tasks preferred
  • Proficiency in Microsoft Office Suites and accounting software
