Marketing Event Coordinator

POSITION OVERVIEW
We are seeking an enthusiastic, motivated, and detail-oriented individual to join our Marketing Team as Marketing Event Coordinator. This role will be responsible for the planning, executing, plus overseeing a variety of events, as well as all the related components such as coordinating with vendors to managing budgets and handling on-site event operations. The Marketing Event Coordinator acts as the primary liaison for clients, vendors, and internal teams. The ideal candidate will possess excellent organizational/communication skills, multitasking skills, and a sharp attention to detail.
ESSENTIAL JOB FUNCTIONS
- Plan, organize, and execute a variety of marketing events, including trade shows, product launches, seminars, and customer engagement activities. Ensure that all events align with the company’s brand standards and achieve desired objectives.
- Research for different event organizations, venues, and other potential events that will increase exposure of the company to potential clients.
- Coordinate with event vendors, venues, and technical support teams, managing resources to ensure smooth event execution. Keep track of attendee registrations, RSVPs, and attendee engagement leading up to the event.
- Serve as the point of contact before, during, and after all events while maintaining positive relationships with vendors, suppliers, contractors, and other related personnel for future events.
- Develop and manage event budgets, monitor expenditures, ensure events are completed within budget, and evaluate cost-effectiveness.
- Collaborate with product and marketing teams to create and implement event promotion plans through various channels, including email campaigns, social media, invitations, flyers, etc.
- Collaborate with PM/IT to plan and update website/social media contents regarding the specific details of the event for promotions and oversee attendance turnout rates.
- Gather and analyze event feedback and data, prepare post-event reports, and provide recommendations for improving future events.
- Perform other relevant duties as assigned and support the marketing team as needed.
ESSENTIAL REQUIREMENTS
- Excellent organizational and skills with the ability to manage multiple projects simultaneously
- Ability to connect and respond to various parties in a timely and effective manner
- Ability to communicate clearly, concisely, and professionally in written responses to emails and oral responses to calls
- Capable of meeting deadlines and working with daily time constraints
- Strong problem-solving skills and be able to remain calm under pressure
- Quick problem solver when spontaneous issues arise
- Computer proficiency including Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.)
- Ability to work independently with minimum supervision and under pressure
- Energetic and positive attitude, and enthusiasm to excel
OTHER REQUIREMENTS
- Domestic and/or International Travel required up to 25%
- Willing and able to work additional hours and on the weekends when needed
- Bend, lift, open, and move product up to 50lbs
- Bilingual in Chinese is preferred but not mandatory
EDUCATION
- 2-5+ Years of experience in event planning or coordination, marketing, or communications
- A Bachelor’s Degree in Business, Marketing, Communication, or related field (preferred)
- Previous experience in technology trade shows such as CCTV industry is highly desired
Job Type: Full-time, Onsite
Pay: $25.00 - $30.00 per hour
Expected hours: 40 per week
