Summary:

Manages the daily operations of a clinic. Responsibilities include staff management, general administration, financial activities, and project management. The Operations Manager position requires a motivated, well-organized, and conscientious individual who is able to manage multiple tasks at the same time. Exemplifies the Rush mission, vision, and ICARE values and acts in accordance with Rush policies and procedures.

Required Job Qualifications:

  1. High school diploma.
  2. Two years’ healthcare experience.
  3. Expert knowledge of duties performed in the area of responsibility.
  4. Thorough knowledge of the ideal patient flow.
  5. Knowledge of revenue cycle requirements.
  6. Good managerial skills.
  7. Leadership and organizational skills.
  8. Excellent customer service skills.
  9. Good interpersonal skills.
  10. Very good written and oral communication skills.
  11. Attention to detail and accuracy.
  12. Competent in basic Microsoft Office programs; proficient use of Excel.
  13. Ability to implement change and maintain results.
  14. Ability to prioritize and multi-task in a fast-paced environment; well organized.
  15. Open-mindedness and willingness to facilitate change.
  16. Works effectively with minimal supervision.
  17. Ability to work cooperatively in a team environment.

Preferred Job Qualifications:

  1. Associate degree or Bachelor's degree.
  2. Management experience.

Responsibilities:

  1. Manages patient/clinic flow including physician schedules, check-in and check-out processes, time of service and payments on account, patient communications, referrals and pre-authorizations, coordination and management of surgical workflows and other operational duties necessary to ensure smooth operations.
  2. Manages staff including hiring, on-boarding, coaching, counseling, and performance reviews, as well as managing day-to-day activities such as payroll, staffing, communications, and related activities.
  3. Designs, implements, and supports RUMC and RUMG policies and procedures. Reviews relevant workflows and metrics and recommends changes as necessary.
  4. Serves as liaison to clinical staff, hospital departments, Rush Health, and other departments as appropriate to organize, coordinate, and ensure timely and accurate completion of all required processes.
  5. Oversees collections activities and office expenses to meet budget targets.
  6. Assists the Administrator/Manager with projects including process and operational planning and financial and performance analysis. Assumes a leadership role in the absence of the Administrator/Manager.
  7. Ensures compliance with all regulatory and accrediting agencies; proper maintenance of medical records; and the administration of clinical trials.
  8. Ensures all office equipment is functioning and maintained in an appropriate manner.
  9. Performs all non-clinical duties when needed to ensure efficient patient clinic flow.
  10. Proficient in performing all duties of reporting staff.
  11. Promotes a positive and productive environment, encourages teamwork and communication.
  12. Acts as a role model for practice standards related to customer service.
  13. Assures achievement by staff of RUMG Customer Service and Performance Standards.
  14. Compiles and maintains a variety of databases, including internal and external referral sources, related community groups, specialty organizations, etc.
  15. Works with the marketing department at Rush to educate the community and market Rush both locally and throughout the Chicago land area.
  16. Works to establish cooperative working relationships with program physicians, nurses, referral sources, and ancillary departments as well as hospital administration and related agencies to provide seamless patterns of referral and patient care.
  17. Creates and maintains web presence of The Rush Midlife Center for Women.
  18. Other duties as assigned.
