We are urgently seeking a full-time bilingual (English/Spanish) Human Resources Assistant to join our HR Department. The Human Resource Assistant will perform administrative tasks and services to support the effective and efficient operations of the organization's human resource department. The ideal incumbent has two years minimum of HR experience, is highly organized, and is eager to learn and take on new responsibilities while working with a sense of urgency and the ability to multitask without sacrificing the quality of the work.
Duties and responsibilities
- Greets and welcomes employees and answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
- Provides clerical support to the HR department such as preparing new hire packets for new personnel and ordering kitchen and office supplies.
- Keeps records of drivers’ DOT physicals and ensures CDL drivers’ records are current, including Annual State Motor Vehicle Records, Annual Review of Driving Records, and Annual Driver Certification of Violations.
- Assists in the coordination of random drug tests for drivers subject to the DOT.
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Maintains the integrity and confidentiality of human resource files and records
- Perform periodic audits of H.R. files and records to appropriately collect and file all required documents.
- Assists the HR Department in sourcing and pre-screening candidates for the H2B visa program, housekeeping and maintenance department and updating the Applicant Tracking System.
- Assists the Accounting Department with rent deductions and expense reimbursements.
- Conduct employment verifications.
- Assists with planning and execution of special events such as benefit enrollment, wellness fair, employee recognition events, holiday parties, work anniversaries, and retirement celebrations.
- Translate documents into Spanish and Haitian Creole
- Maintains the bulletin board with employment posters, announcements, birthdays, job openings, and any other relevant and important information the HR department needs to share with employees.
- Assist with the coordination and announcement of the employee of the quarter.
- Works with the management team to select the employee spotlight and prepares monthly newsletters.
- Updates the LinkedIn Page with employee events and Holiday Announcements.
- Adhere to employment labor laws and employment regulations.
- Other duties as assigned.
Required Education, Experience, and Skills
- Bilingual (English/Spanish) required.
- An associate’s degree in a related field is required.
- Prior related office experience, preferably in H.R.
- Proficient in MS Office, Canva, Mailchimp, Flipping Book, Vimeo, Survey Monkey, and other marketing tools.
- Hands-on experience with an HRIS, preferably Paycor, but not required.
- Problem-solving and decision-making aptitude.
- Prior experience handling confidential business matters and information with discretion.
- Ability to manage interruptions without losing track of tasks, while still providing great customer service to staff.
- Flexibility to work O.T., and weekends as needed to complete tasks, especially during the season months (October through May).
