Description

San Mateo County Health, Division of Public Health, Policy & Planning (PHPP) is seeking well-qualified individuals for the position of Medical Office Specialist - Communicable Disease Control Program.

Medical Office Specialists, under general supervision, provide technical, complex or specialized medical office support. This is the technical specialist level in the medical office support series. Responsibilities include the performance of specialized medical office support work requiring constant learning and adapting to changes in communicable disease reporting and the regular use of independent judgment and initiative.

The Communicable Disease (CD) Control Program works closely with the California Department of Public Health (CDPH), San Mateo County clinicians, school officials, community members, and private organizations to protect the health of our residents and visitors. We track reports of over 80 reportable diseases, investigate individual cases of communicable diseases and their contacts, monitor outbreaks in the community, recommend public health actions to control the spread of disease, and alert clinicians to public health threats. This limited term assignment is anticipated to last for approximately 2 years, though the final duration may be longer or shorter.

Under the supervision of the Program Services Manager I (CD Control) this position will work closely with the CD Control Program and PHPP Administration team to provide direct medical office support for CD Control activities and help develop and streamline administrative processes to better respond to sustained increases in reports received on an ongoing basis since the start of the COVID-19 pandemic.

Duties in this role include, but are not limited to:

* Intake communicable disease reports via online database systems such as CalREDIE/CalCONNECT, fax, phone, email, mail, etc.
* Perform accurate and timely data entry into various databases (CalREDIE, CalCONNECT, etc.) and tracking tools (Microsoft Excel, etc.) and perform data cleaning efforts such as reconciling and merging duplicate records/entries
* Follow-up with reporting parties and request medical records to obtain additional information as needed
* Transfer information out to other jurisdictions for follow-up and receive/process incoming transfers
* Triage, respond to, and route incoming emails, faxes, and phone calls appropriately

The ideal candidate will possess:

* Excellent organizational skills and a detail-oriented approach
* Familiarity with medical terminology and reading/interpreting laboratory reports and medical records
* Ability to utilize a variety of computer software programs effectively and efficiently
* Experience developing and improving complex processes and workflows
* Ability to adapt to new procedures quickly
* Familiarity with medical and public health confidentiality laws and handling sensitive information appropriately

This is a limited term, at-will position.Limited Term Employees are assigned to assignments not to exceed three years. They receive medical and dental benefits, similar to regular employees, and a defined contribution retirement plan.
