- Client Management: Assist in managing client relationships by handling inquiries, scheduling client appointments, and ensuring exceptional service delivery.
- Document Preparation: Prepare and proofread financial reports, presentations, and other client-related documents with a high level of accuracy and attention to detail.
- Database Management: Maintain client databases and CRM systems to ensure accurate and up-to-date client information.
- Correspondence: Manage and respond to emails, phone calls, and other correspondence on behalf of the Financial Advisor in a professional and timely manner.
- Project Assistance: Assist in various projects and initiatives, including research tasks, event coordination, and special assignments.
- Confidentiality: Handle sensitive information with the utmost discretion and always maintain confidentiality.
Qualifications:
- Proven experience as an executive assistant or administrative assistant, preferably in the financial services industry.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with CRM systems. Experience with Equisoft is a plus.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with clients and colleagues.
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
- Meticulous attention to detail and a high level of accuracy in all work.
- Ability to work independently with minimal supervision and as part of a team.
- Discretion and integrity when handling confidential information.
- Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
