Our OpportunityWe are currently seeking an experienced Administrative Assistant for our Denver, CO office. In this role you will be part of an administrative team of two, responsible for performing a wide variety of diverse, administrative tasks to provide a high level of support for our professional consultants and corporate staff.Qualified candidates who are selected to participate in our screening process for this role will be asked to take an editorial assessment via Microsoft Word prior to a potential formal interview.You Will Be Responsible ForConsultant / Project SupportSetting up new projects in our electronic system and run conflict checksDrafting retention letters and statements of workPrinting and collating project bindersEditing documents and reports for formatting, grammar, spelling, and content review, including large (250+ page) reportsOrganizing final project documents prior to submissionCoordinating and maintaining schedules and travel arrangementsPreparing and processing expensesAssisting with accounts receivable collection, invoicing, purchasingAssisting consultants with ad-hoc requestsLogging evidence and unit chargesEnsuring all projects are set up accurately and work product complies with corporate policyDownloading file materials, scanning documents, and completing materials received listsGeneral Office SupportProviding front desk coverage including low-volume phone coverage and greeting visitorsMaintaining inventory, organization and upkeep of supply/copy room, conference rooms, and kitchen areaHandling mail and shipping/receivingCoordinating onsite meetings for internal and external client meetings, including setting up web conference systems, catering, room setup/clean-upSupporting facilities requests administratively (both from corporate and the building management)Coordinating equipment maintenance (copy machines, kitchen appliances, etc.)Assisting Human Resources with local candidate interview schedulingContributing to the in-office culture through event coordination and planning of employee celebrations, holiday parties, etc.You Will Have The Following Skills And QualificationsBachelor's Degree (preferred)Minimum 3 years of administrative experience, including support to a team and senior/executive-level staffExperience working in a professional services firm or law firm is a plusExceptional attention to detail and ability to manage multiple tasks simultaneouslyAdvanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Working experience with Vision/VantagePoint is a plusPrior experience with running conflict checks is a plusProficiency in online conferencing tools (e.g. Microsoft Teams)Strong editorial and proofreading skillsMust be able to demonstrate strong organizational, planning, monitoring of tasks, and follow-up skillsDemonstrated problem-solving skills and initiativeCommitted to quality work product both for independent tasks and team projectsDemonstrated self-starter who shows initiativeMotivated and committed to learning new systems, processes, skillsAbility to multi-task, work under critical time deadlines, re-evaluate priorities, and interact with all levels of professional staffExposure to sensitive information will necessitate considerable use of tact, diplomacy, discretion, and judgmentMust be able to lift, push, pull a minimum of 20 lbs.Life @ ExponentTo learn more about life at Exponent and our impact, please visit the following links:https://www.exponent.com/careers/life-exponenthttps://www.exponent.com/company/our-impactAttracting, inspiring, developing, and rewarding exceptional people with diverse backgrounds and expertise are central to our corporate culture.
