POSITION TITLE: Administrative Assistant

LOCATION: Central Services Building located at 2222-C South Fayetteville Street, Asheboro, N.C. 27205
REPORTS TO: Executive Director of Curriculum and Instruction/Director of 6-8 Instruction
SUPERVISES: N/A
WORK WEEK SCHEDULE: Monday-Friday
WORK HOURS: Regular business hours
NUMBER OF MONTHS PER YEAR: 12
POSITION PURPOSE
The Administrative Assistant of Executive Director of Curriculum and Instruction/Director of 6-8 Instruction is responsible for performing a variety of administrative and technical functions involving public contact and administrative duties as an assistant to the directors. Most actions are directed by the general policies and precedents of the system. The work of the Administrative Assistant involves handling routine inquiries by telephone and in person and maintaining a variety of records and files. The Administrative Assistant is also responsible for assimilating information from many sources to compose letters generate reports and provide informational data. The Administrative Assistant utilizes district guidelines, some of which may be technical and require interpretation to analyze facts and determine the correct procedure to use for follow up. The Administrative Assistant supports other directors within the Curriculum and Instruction Department.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of district policies and procedures
- Ability to use correct grammar, vocabulary, spelling and punctuation
- Ability to maintain confidential information related to the school system as a whole as well as groups of stakeholders such as students and staff members
- Ability to communicate effectively, both orally and in writing, including preparing complex reports
- Ability to establish and maintain effective working relationships with district and school administrators, teachers, support staff, and other community groups
- Ability to perform advanced bookkeeping, budgeting, and documenting required for local, state and federally funded programs.
- Ability to multi task in a fast paced environment
- Ability to maintain complete and accurate records and to develop standard reports from those records.
- Considerable knowledge of common word processing, spreadsheet, electronic mail and file maintenance programs.
- Ability to generate correspondence, spreadsheets, and reports independently
EDUCATION, TRAINING, AND EXPERIENCE:
- High School Diploma or GED
- Experience with providing office support
- Any equivalent combination of training and experience that provides the required knowledge skills and abilities
- Associate's Degree from an accredited institution in the field of secretarial science, human resources, public relations, office management or other related field
- Three (3) years of experience in an office setting supporting a district level administrator
- Assist the Executive Director of Curriculum and Instruction in general administrative operations
- Compile operational statistics and gather such other data
- Manage data base for financial reporting and balancing reports for accuracy
- Review budget adjustments, additions and deletions for various account codes
- Prepare monthly financial reports and timesheets
- Supply information requested to school systems, teachers, colleges, etc.
- Prepare and process purchase orders for all supplies, goods and materials.
- Compile and maintains a listing of all internal and external contracts
- Maintain a schedule of appointments for superintend of curriculum Instruction and make arrangements for conferences, interviews and meetings.
- Place and receive telephone calls, transcribe and deliver messages
- Receive, process, date stamp, and distribute all incoming mail
- Assist incoming callers and visitors by responding to questions inquiries and requests for information and services.
- Perform other tasked as assigned by Superintendent of Instruction
