The Senior Administrative Coordinator plays a vital role in contributing to the firm's success by providing essential administrative and client support for the Partners. This position demands independence in managing various client projects and ensuring that all action items are addressed efficiently. Responsibilities Facilitate client communications for Partners as required. Coordinate and schedule Partner meetings seamlessly. Inform all parties involved about changes in estimated payments and billing. Represent the Partner by warmly welcoming visitors, managing correspondence, and addressing inquiries and meeting requests. Reconcile, code, and organize credit card expenses efficiently. Draft and edit various materials, including presentations, schedules, reports, letters, and other correspondence. Provide general administrative support to ensure smooth office operations. Handle telephone inquiries, relay messages, and consistently interface with clients and staff. Prepare memos, reports, meeting minutes, presentations, and other important materials. Oversee special projects while coordinating executive outreach and external relations efforts. Work independently on tasks assigned by Partners from initiation to completion. Manage phone calls and emails, ensuring prompt responses to the executive team's queries. Coordinate travel arrangements for Partners. Plan and execute firm client events and sponsorship opportunities. Offer reception support whenever needed. Perform other duties as assigned. Ability to work autonomously under pressure with tight deadlines and competing priorities. Education, Experience and Certifications Associate's degree or equivalent experience. 5+ years of experience in an administrative role supporting executive-level professionals. Experience in event management, meeting coordination, and calendar management. Proficient in formatting documents using Word, Excel, PowerPoint, and navigating internal systems. Comfortable with technology and capable of resolving issues by liaising with subject matter experts. Prior experience in the financial or professional services industry is preferred. Proficient use of Microsoft Office suite (Excel, Outlook, Word). Work Conditions Must be able to remain in a stationary position as necessary. Occasional movement within the office to access files, office machinery, etc. Regular use of computers and other office productivity equipment. Able to communicate professionally and exchange information with internal and external clients as required. Ability to lift/carry up to 20 pounds. Willingness to work outside of normal business hours and on weekends as needed. Some travel to other Firm office locations may be required, including overnight stays. This job description may change at any time, and employees will be given additional responsibilities as needed. Salary Range: $20.00 - $30.00
