USAE is seeking a Full-Time Payroll Administrator for its Oldsmar, FL Corporate Office. USA Environmental, Inc. (USAE) provides Military Munitions Response Programs (MMRP) services to government agencies at worldwide locations for the characterization and remediation of Munitions and Explosives of Concern (MEC). Headquartered in Oldsmar (Tampa Bay), Florida, we are a full-service small business munitions response provider celebrating our 26th year in business.


Responsibilities:

  • The administration of the company’s time and attendance and payroll systems;
  • The timely and accurate delivery of payroll and related client services including recordkeeping, reporting, reconciliation of all payroll related entries and accounts into the general ledger; and coordination of information to USAE’s 3rd party payroll provider.
  • The Payroll Administrator will maintain employee master files including: home of residence, multi-state tax allocation, W4 exemptions, direct deposit account info, insurance benefit deductions, garnishment deductions, 401(k) contributions/loans, vacation/sick accruals, hourly/salary rate of pay, labor codes, and assignment of employee numbers for USAE’s accounting and payroll systems.
  • Proofread timecards and prepare for entry to ensure accuracy for pay and billing purposes, enter cost accounting entries of labor hours and dollars into the accounting system, enter and balance labor for all personnel labor hours /job costs/positions for biweekly posting, assist with correcting accounting entries to ensure proper job cost allocation to tasks and other for billing accuracy.
  • In addition, they will calculate and record general ledger entries for payroll expense, to include gross wages, all taxes & deductions and per diem advance payments;
  • Provide administrative support to all employees/staff for any payroll concerns; and work closely with USA’s payroll provider and various agencies such as tax offices, IRS, and child support for payroll maintenance.


Qualifications:

  • Associate’s Degree in Business or related field, or equivalent experience;
  • A minimum of 3 years of accounting and payroll experience;
  • Intermediate Excel, Word, and Outlook proficiency;
  • Experience with 3rd party payroll providers (Paycom preferred);
  • Strong attention to detail and interpersonal skills; multi-tasking capabilities; strong verbal and written communication skills; ability to organize and prioritize and work with limited supervision; and recognition of the need for confidentiality.
