ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Always greets all customers/vendors via phone or in-person in a professional manner. Manages day-to-day customer service by performing the following duties. Adhere to all company and safety policies and procedures and ensure coworkers do also.

  • Reception and phone duties.
  • Prepare and enter invoices.
  • Process and enter receiving records.
  • Customer order retrieval and data entry.
  • Customer service duties including samples request and quoting.
  • Addresses complaints concerning defective material received, issuing, and following up on RGA's.
  • Expedite purchase orders in conjunction with purchasing and maintain weekly exception log.
  • Take inventory/track usage of office supplies.
  • Completes special projects assigned from management.
  • Administrative duties such as preparing memos, postings and letters.
  • Assist HR with company events.
  • Clerical duties as needed.
  • Filing duties.
  • Maintain a clean, organized, and safe workspace.
  • Run company errands as needed.
  • Other duties as assigned.

QUALIFICATIONS

  • Superior data entry skills.
  • Excellent general office practices.
  • Math and use of calculators.
  • Able to handle a variety of tasks simultaneously.
  • Great prioritization skills.
  • Phone and reception etiquette.
  • Advanced computer skills.
  • Microsoft Office and ERP/Company software.
  • Present self in a courteous and professional manner when communicating with vendors, customers, and personnel.
  • Maintain professional appearance and positive demeanor.

EDUCATION and/or EXPERIENCE

  • A minimum of 2 years in an office environment and 1-3 years in a customer service role desired.
  • Accounts Payable and Receivable experience desired.
  • High School Diploma.

LANGUAGE SKILLS

Excellent communication, reading, writing and comprehension skills.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, divide, and calculate percentages.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
