Seeking a highly skilled and experienced Payroll Manager with expertise in managing multi-state, multi-brand, and high-volume payroll processes. Proficiency in managing payroll functions for large workforces, conducting audits, and ensuring compliance with federal and state wage and hour laws is essential. This role requires strong problem-solving skills, the ability to work independently, and exceptional communication and relationship-building abilities.
What You’ll Do: The Payroll Manager is responsible for high volume, multi-state, multi-brand payroll functions and all tasks necessary to accomplish the organization’s payroll processing objectives. Maintains compliance with federal and state wage and hour and leave laws. Manages benefits, maintains ACA compliance, and overall Payroll/HRIS system maintenance. Supports Human Resources and Finance teams with reporting needs and internal and external information requests. Essential functions:
- Process weekly payrolls for multiple worksites (1500-2500 EEs) including wages, time off, premium pays, and required and elective deductions. Ensures compliance with all state and federal wage and hour laws. Ensures hours reported in POS and back-office system (SICOM/RTI) are accurately uploaded into payroll system. Conducts audits on each payroll and maintains documentation.
- Prepares monthly benefits eligible reports consistent with ACA compliance requirements, extends benefits offerings to newly eligible employees. Updates HRIS system with ACA documentation. Enters benefits enrollments and 401(k) contributions into systems and conducts monthly audits on all benefits programs.
- Manages all processes within Payroll/HRIS system, including onboarding, LOA, rehires, wage adjustments, transfers and terminations and coordinates with the operations team to ensure accurate and timely information input. Produces and maintains reports for audit purposes.
- Advises restaurant general managers as to Payroll/HRIS processes including time reporting, pay cards, and vacation time and balances.
- Responds to employment verifications and other payroll related requests including Child Support and other garnishment orders.
- Conducts year-end payroll processes, including W-2/1099 reporting.
- Serves as the Payroll/HRIS systems expert. Evaluates system functionality on an on-going basis and recommends upgrades/changes to management team for consideration.
- Manages related compliance filings: EEO; 5500 for 401(K); IRS form 720
- Manages third party payroll provider vendor relationship.
What Will Make You Successful:
- A minimum of 7-10 years of payroll management experience, including experience processing multi-state, multi-brand, high volume payroll.
- CPP Certification required.
- Experience with retail or QSR payroll a plus.
- Expertise in managing HRIS/Payroll systems and generating reports for audit and compliance purposes.
- Prior benefits management experience including ACA compliance and auditing.
- Prior experience implementing and communicating changes in federal and state wage and hour laws.
- Proficient in Microsoft Excel and Word.
- Ability to work independently, with strong decision making and problem- solving skills
- Excellent communication and relationship building skills.
- Accounting Degree a plus.
- Demonstrated experience in process development and improvements.
- UKG Ready experience a plus.
- Physical Requirements: Ability to communicate via phone including hearing and talking. Ability to perform sedentary work such as computer-based work. Ability to utilize close visual acuity such as for creating and analyzing data/spreadsheets, word documents, and graphic designs.
