The junior executive assistant’s position covers a multitude of areas. This position requires one to be a self-driven individual who possesses the ability to work independently with little to no supervision and report directly to the office manager. The junior executive assistant must be efficient and extremely well organized. The ability to react and perform well with deadlines, multitasking, and completing projects completely and thoroughly is necessary while anticipating the needs of our staff, clients, and business relationships. Adaptation from a fast to a slow pace is needed due to our environment being inconsistently paced; therefore, proactivity and efficiency are the foundations of how the business is run. The ability to be resourceful and flexible are also traits that are preferable. Professionalism and a high level of confidentiality are used in this office and crucial to the position along with expertise in the areas of written and verbal communication skills, attention to detail, and the ability to make strong decisions is necessary.

 

Responsibilities:

·      Operate an alarm system

·      Answer phones

·      Operate a phone system and able to check voicemail and take messages

·      Handle incoming and outgoing communication, email, packages, and documents

·      Interaction with clients over the phone and in person

·      Carry out and complete assigned projects

·      Operate a computer (Microsoft Outlook/Word/Excel, and maintain our CRM)

·      Maintain a calendar

·      Use a filing system

·      Organizing case files

·      Type client/case notes

·      Keep office tidy, light cleaning

·      Schedule workshops & events

·      Update/maintain marketing materials


Possible Future Duties:

·      Client application preparation and status updates

·      Client file maintenance and preparation

·      FAQ Notebook


Qualifications/Experience:

·      Bachelor's degree or equivalent experience

·      Proficient in Microsoft Office suite

·      Experience in managing multiple priorities, administrative coordination, and logistics

·      Well-organized, detail-oriented, ability to multi-task with great follow-up skills

·      Strong written and verbal communication skills

·      Prior Experience as an Assistant

·      Calendar Management Skills

·      Proficient in Microsoft Office Programs

·      Client Generation

·      Strong Marketing Skills

·      Advertising

·      Life Insurance Licensed is a huge PLUS


This is a full-time position, Monday through Friday. Our office is in Mission Valley, San Diego, California.
