POSITION TITLE: Data & Employee Support Representative (DESP)
DEPARTMENT/LOCATION: Employee Services / Education Center
STATUS: Classified - Nonexempt, Full Time
HOURS OF WORK/CALENDAR: 40+ hours a week / 242-day calendar
STARTING PAY: $21 HOURLY
POSITION SUMMARY: Under general supervision, the DESP will help support all areas of Employee Data processing and provide exceptional employee support by phone, email or in-person. The DESP will be responsible for completing the assigned transaction workloads efficiently and in time.
The DESP has the responsibility to communicate and interact with other departments to research and resolve issues that may arise from transaction processing.
PRIMARY DUTIES/RESPONSIBILITIES:
- Respond to employee inquiries via phone, email, and chat in a timely and professional manner.
- Accurately input and verify individual or mass data in databases and systems.
- Maintain data integrity and accuracy by reviewing, validating, and performing regular quality checks.
- Conduct validation with reasonable checks and analysis of data received prior to making changes in the system to avoid errors.
- Manage sensitive information including but not limited to salary, and personal information.
- Collaborate with team members to resolve data discrepancies and address issues promptly.
- Responsible for reviewing and validating personnel change transactions.
- Develop strong knowledge of the District's policies and procedures to understand data and reasonable checks of data received for input.
- Assist with developing and maintaining procedural documentation of internal and external processes.
- Collaborate with KPERS Designated Agent to ensure accuracy of KPERS payroll deductions for district employees.
- Periodically prepare and submit KPERS per pay period reports. Manage adjustments as needed.
- Communicate with and respond to KPERS Staff regarding inquiries pertaining to KPERS covered wages, employment history and status changes.
- Perform other duties and responsibilities as assigned.
Education and Experience Requirements:
- High school diploma or GED required
- 2 -3 years' experience related to Data Management, HRIS and/or HCM systems support
- Demonstrates strong customer service skills including the ability to defuse difficult situations
- Demonstrates flexibility and adaptability in performing work duties
- Strong organizational and time management skills and can prioritize work, with an emphasis on the accuracy and attention to detail.
- Solid written and verbal communication
- Experience with Oracle Cloud Fusion preferred
Required Knowledge, Skills and Abilities:
- Ability to work under time constraints to ensure critical deadlines are met
- Attention to detail and strong organizational and work prioritization skills
- Ability to perform repetitive tasks with accuracy
- Experience and basic proficiency with Microsoft Office
- Ability to handle sensitive issues with discretion while maintaining trust and confidentiality
- Desire and ability to be a team player
PHYSICAL REQUIREMENTS:
This position requires the performance of light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. The position typically involves 80% sitting, 10% walking, and 10% standing. The position requires visual acuity as well as frequent hearing and talking and some crouching, grasping, kneeling, lifting, pulling, pushing, stooping, and significant fine finger dexterity. This position is performed in an indoor and generally hazard free environment.
