Your Role:

As our Shipping Manager, you will be the backbone of our shipping operations. From supporting our spirited sales team to coordinating with the owners, administrative assistants, and other team members, your role will be pivotal in ensuring the smooth running of our winery's shipping and logistics tasks.

Key Responsibilities


Shipping:


·      Monitor the eCommerce platform on Wine Direct (WD) shipping dashboard for orders and ensure timely shipments.

·      Utilize WD shipping functionality to complete shipping paperwork and UPS labels.

·      Monitor and maintain shipment tracking information in UPS and/or Wine Direct.

·      Complete orders per winery requirements including club orders, gifts, website orders, and tasting notes.

·      Monitor and follow up on shipment exceptions and initiate resolutions, such as rerouting, returns, and warranty submissions.

·      Ensure each shipment is done correctly and with care, as it is the final contact with the customer. Ensure the orders are shipped with accurate wines, vintages and correct address and in accordance with alcohol shipping compliance guidelines.

·      Monitor UPS rates and communicate with the Operations and Wine Club Managers about any issues.

·      Communicate transaction problems and shipping issues with the Wine Club Manager.

·      Build and maintain a strong relationship with our UPS representative.

·      Communicate company-wide about shipping particulars like weather delays and temperature-related issues.

·      Address employee shipping errors and provide training as needed.


Inventory Management:


·      Maintain daily arrival and departure inventory counts for shipping wine.

·      Account for all removals, transfers, and receipts of wine daily.

·      Ensure accurate inventory and movement of wines, and promptly address any discrepancies.

·      Manage shipping and tasting room wine inventory, ordering or transferring as needed.

·      Communicate with the Admin Assistant for ordering miscellaneous shipping supplies in a timely manner and examine supply order invoices before giving a breakdown to our bookkeeper for payment.

·      Maintain organized storage of wine and supplies.

·      Coordinate a comprehensive year-end physical inventory of all wine locations.

·      Collaborate with Owners and the Operations Manager to complete the ranch winery library inventory.

·      Schedule and manage team members for physical inventory at both tasting rooms. Responsible for counting the shipping wine area in the DD basement and the tasting room wines.


Winery and Tasting Rooms:


·      Learn wine varietals and vintages.

·      Understand and appreciate the Galante Family Winery and Dawn’s Dream stories and share with customers.

·      Familiarize yourself with tasting room processes and procedures.

·      Cover meal breaks for tasting room staff.

·      Oversee the Hot Ship program, ensuring compliance with UPS contract parameters and updating WD shipping fees accordingly.

·      Assist the Event Manager with event preparation and wine inventory.

·      Assist Wine Club Manager when needed.

·      Available to work weekends.

Essential Skills & Qualifications:


·      Strong proficiency on PC computer systems, Microsoft Word, Excel, and Dropbox management.

·      Ability to quickly grasp our POS software.

·      Stellar communication skills—both written and verbal.

·      An uncanny ability to multitask without dropping the ball.

·      Strong work ethic, responsibility, and a dash of common sense.

·      Ability to lift 40lbs, go up and down stairs with ease, and handle large quanity wine deliveries.

·      Previous experience in shipping, logistics, or inventory management is preferred.

·      Strong organizational skills and attention to detail.

·      Excellent communication skills and the ability to work well with a team.

·      Ability to learn and adapt to new software systems (e.g., Wine Direct, UPS Website functionality (orders, tracking, returns, reroutes and claim submittals)).

·      Passion for wine and a desire to contribute to a customer-focused team.

·      Valid driver’s license.
