R&D Investments is a team consisting of experienced Project Managers, as well as Portfolio Management and back-office functions. We enable science by leading professionalized development and execution of CAPEX projects and optimizing the value/risk of investments at the project and portfolio level. We lead projects globally, including across Denmark, US, UK and China. This team is managing the construction of clients newest US R&D facility in the greater Boston area, to accelerate the development of new treatments of people living with chronic diseases.

The position

For this project, we are looking for someone to support the investment project manager with a range of responsibilities. This position is responsible for coordination, communication, implementation, and maintenance of activities in support of the project organization.


Key Responsibilities

Support project director with:

• Project execution: act on behalf of the project manager to consistently monitor the project plan, workstream progress, dependencies, and milestones; and modify the project plan as necessary in line with project governance. Produce and oversee meeting minutes, and ensure follow-up on actions. Function as the intermediary across internal teams representing the project.

• Project governance materials preparation: prepare materials for Steering Committee meetings and project gate passages.

• Invoicing follow up: Collaborate with cost controller and procurement team to verify that invoices align with purchase orders, contract deliverables and the project plan. Support project manager to monitor and oversee change order approval process. Address and resolve issues related to contracts, purchase orders, invoices and change orders.

• Reporting in Power BI: develop and maintain standardized project management reports in Microsoft Power BI, Teams or Excel.

• Communication: skillful in clear and concise communication, both orally and in writing, across diverse technical and non-technical backgrounds and various levels of seniority. Proficient in generating clear and impactful materials, such as minutes, PowerPoint presentations, and project updates. Capable of efficiently leading meetings and workshops in an engaging and inspiring manner.

• Problem-solving: proficient in problem/root cause analysis, facilitating input, taking decisive action, overcoming obstacles, and fostering progress and transparency within the project.

• Project planning: develop a high level project plan detailing the project scope, work packages, timeline, milestones, governance, roles and responsibilities, risks, and resource allocation. Critical path analysis. Oversee project knowledge and information repositories, as well as facilitate the onboarding of new team members.

• Risk management: apply a structured approach to support the project manager with risk analysis, cost-benefits analysis etc. Monitor and control risks; proactively take actions to mitigate risk.

• Stakeholder management: proficient in gathering insights to develop a stakeholder list, analysis, and a plan for involving and informing various stakeholders. Define strategies for consistently engaging and aligning stakeholders. Capable of recognizing when stakeholder involvement and engagement are necessary, particularly when unforeseen challenges arise.

• Play a pivotal role in supplying rigor and diligence in project management, and a solutions-oriented culture on the team.

• Responsibilities will evolve as project progresses.


Minimum qualifications

• Bachelor’s degree in business administration, economics, finance or a related field, from an accredited university required, or equivalent combination of education and experience required.

• May consider an associate’s degree from an accredited university with a minimum of 5 years of experience in project management.

• Project management certification (CAPM, PMP, etc) preferred.

• Minimum 3-5 years of experience with a proven track record in project management, project support (e.g. as controller, project manager, assistant, procurement), project management office (PMO) or portfolio management.

• Experience working in large and matrixed organizations.

• Proficient in Microsoft Office, with a strong command of Teams, PowerPoint, Power BI and Excel.

• Knowledge of, or willingness to learn SAP S/4HANA and Ariba.

• Strong organizational skills with a keen attention to detail and deadlines.

• Exceptional communication and interpersonal skills, and stakeholder management.

• Ability to work independently and lead, as part of an integrated, diverse team and be comfortable in multiple, highly varied settings, and tight deadlines with different work and learning styles.

• Dedication to achieving excellence and adding a personal touch to their work.

• Willingness and curiosity to solve problems, coupled with a sense of humor.
