Position Summary

Our client is seeking a detail-oriented and experienced Legal Secretary to provide comprehensive administrative support to their attorneys and paralegals. This role is crucial to ensuring the smooth operation of their legal services and requires excellent organizational skills, the ability to handle multiple tasks efficiently, and a strong understanding of legal procedures



Key Responsibilities

  • Administrative Support: Provide vital secretarial support, including managing correspondence, answering phones, scheduling meetings, and organizing files.
  • Document Management: Type and format legal documents, transcribe dictations, and proofread for accuracy and completeness. Assist in preparing and filing legal documents.
  • Client Communication: Handle routine client inquiries, schedule appointments, and ensure clients are informed about court dates and deadlines.
  • Office Coordination: Maintain office supplies, manage office equipment, and perform other administrative tasks to ensure efficient office operations.
  • Billing and Time Tracking: Assist with time tracking and maintaining accurate financial records related to client accounts. Although the firm operates on a contingency basis and does not bill clients hourly, time tracking helps in ensuring fair work distribution.
  • Support for Trial Preparation: Provide administrative assistance during trial preparation, including organizing exhibits, preparing trial binders, and coordinating logistic


Qualifications:

  • Experience: Looking for an experienced legal secretary, preferably in a personal injury or plaintiff law firm setting.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with legal case management software.
  • Communication Skills: Excellent written and verbal communication skills. Ability to interact professionally with clients, attorneys, and staff.
  • Organizational Skills: Strong organizational skills with attention to detail and the ability to manage multiple priorities under tight deadlines.
  • Team Player: Ability to work effectively in a team environment and support colleagues as needed.
  • Work Ethic: Demonstrated ability to handle confidential information with discretion and maintain a high level of professionalism.


Work Environment:

  • Hybrid Policy:
  • 0-1 year in career: Full-time onsite.
  • 1-2 years in career: Eligible for 1 day hybrid work per week.
  • 3+ years in career: Eligible for 2 days hybrid work per week.
  • Contingency-Based Practice: The firm operates on a contingency basis and does not bill clients hourly. However, time is tracked to ensure work is evenly distributed among team members.
  • Work Hours: Typically a 40-hour workweek. During trial preparation or critical periods, hours may extend to 50-60 hours per week.
  • Location Perks: Onsite parking is provided.
