What We Are Looking For
Baylor University is seeking an Administrative Associate to support the mission and vision of Baylor University within the Department of History by fostering a professional and friendly workplace environment and by providing administrative support to the Office Manager, office leadership team, and faculty of the department. The Administrative Associate reports to the Office Manager and can expect to work with staff, faculty, and students across the University.
A High School Diploma and one year of relevant work experience is required. A Bachelor's Degree and three years of experience is preferred.
Required Skills
- Ability to use or willingness to learn various Baylor computer platforms
- Ability to use Microsoft Suite
- Ability to write well
- Ability or willingness to learn Baylor and social media platforms
- Ability to physically lift packages, supplies, etc.
Applicants must be currently authorized to work in the United States on a full-time basis.
What You Will Do
- Office coordination: answer phone; greet visitors; respond to correspondence; order supplies; submit financial requests to FA; work with faculty post-travel; reconcile purchasing card; assist with class scheduling as needed; order desk/exam copies for faculty; update office documentation; maintain and monitor department calendar; make room reservations; assist with records management; develop course brochure; assist with supervision of students workers; work with undergraduate program director on recruiting materials
- Coordinate logistics, guest speaker payments, travel, and venue for department events; correspond professionally with outside guests; create and manage advertising for events; attend and assist as needed at department events
- Update department website as needed; develop news items for website; work with department social media team to create and deploy content for department social media
- Submit facility and IT work orders for office; coordinate key requests; coordinate move packets; maintain inventory of department technology and supplies; serve as building emergency coordinator for Tidwell; manage CSGold door system
- Perform all other duties as assigned to support Baylor's mission
- Ability to comply with University policies
- Maintain regular and punctual attendance
