Title: Order Processing Specialist

Pay Rate: $20.00 - 23.00/hour (based on experience)

Work Location: Hybrid in Dayton, OH (3 days onsite; 2 days remote)

40 hours/week // Monday - Friday

Duration: 6 month contract w/ possibility of extension or conversion


Position Overview:

As an Order Administration Representative, you will play a crucial role in the sales and order-to-cash cycle by supporting business divisions in processing and managing customer orders accurately and efficiently. Collaborating with various departments, including sales, customer service, logistics, and finance, you will ensure a seamless order-to-cash process. Your contributions will help maintain customer satisfaction, support business divisions, ensure trade and revenue compliance, and contribute to the client's overall success.


RESPONSIBILITIES:

  • Order Processing: Receive and accurately process customer orders via email, phone, sales quotations, and online portals using the client's order management systems.
  • Basic Sales Quote Support: Assist sales teams with preparing accurate quotes, converting them to orders in respective systems.
  • Order Tracking: Monitor order status to ensure timely fulfillment and delivery. Proactively communicate with customers regarding any delays or issues.
  • Customer Support: Address customer inquiries related to order status, software provisioning, shipping information, and product availability. Provide timely and courteous responses to maintain high levels of customer satisfaction.
  • Inventory Awareness: Collaborate with global/regional distribution centers and inventory/product management teams to stay informed about inventory availability.
  • Documentation: Maintain accurate and up-to-date documentation of order changes/updates with relevant approvals.
  • Quality Control: Verify accuracy of order details, such as pricing, part numbers, customer contact, delivery information, and quantities before processing orders. Identify and rectify discrepancies or errors with customers.
  • Compliance: Ensure compliance with company policies, procedures, and industry regulations related to order processing and data privacy.


QUALIFICATIONS:

  • High school diploma
  • Experience in order administration, sales support, or a related field
  • Strong organizational skills, attention to detail, and accuracy in data entry and order processing.
  • Problem-solving and critical-thinking abilities to resolve order-related issues effectively.
  • Experience with a top-tier Enterprise Resource Planning (ERP) system is a plus.
  • Familiarity with Salesforce CRM systems and other relevant software applications is a plus.
  • Experience with Google Chrome, Gmail, Google Apps, Microsoft Office/Suite
