The Position

Incumbent works under the direction of the Clerk of the District Court or designee, performing various advanced administrative, technical and professional duties.


Essential Functions

  • Receive filings, review, examine and determine acceptability of documents per requirements; assist customers with various payments and notify appropriate department(s).
  • Establish and maintain effective work relationships with clients, supervisors, County employees, elected officials, attorneys, law enforcement, judges, other agencies and the public.
  • Comply with Civil Service policies and regulations, collective bargaining agreements, County policies, department policies and laws to create a cooperative, safe, respectful and quality work environment.
  • Collaborate with internal workgroups facilitating workflows and counter coverages.
  • Receive and review cases for Juvenile and District Court.
  • Process various documents according to established policies (e.g. e-filings, IRS 1099).
  • Issue and maintain various agency records ensuring proper agency or requester receipt.
  • Enter transcript of judgement cases data into case management system.
  • Accept, review, examine, code and process cases (e.g. electronic, documents), court filings and notify applicable parties of needed corrections.
  • Code, prepare documents for scanning and enter new cases and pleadings into the case management system.
  • Monitor e-filing system accepting, declining or processing per department policies.
  • Read and monitor pleadings and case dockets for hearing and status taking appropriate action.
  • Issue civil, criminal, and juvenile writs.
  • Process authenticated/certified copies of decrees and other court orders.
  • Review, maintain and schedule calendars for judge‘s availability.
  • Create and maintain spreadsheets and other methods of processing and preserving data.
  • Receive and prepare dockets and files for court.
  • Maintain knowledge of applicable regulations, laws and department processes/procedures.
  • Comply with state and federal laws pertaining to the confidentiality of information.
  • Report to assigned work location with regular, consistent attendance.
Accounting Duties
  • Compile and record financial transaction data in appropriate ledgers or other data entry devices utilizing standard bookkeeping principles and standard operating procedures.
  • Furnish financial case information to the court, attorneys, litigants and the public relative to the case.
  • Process search warrants, create new cases, enter documents into JUSTICE and seal case.
  • Review, process, distribute and maintain Public Record Requests, Interstate Compact Act and unclaimed property.
  • Verify balance of defendant court costs, determine time allowed, prepare forms and submit to appropriate departments.
  • Calculate and accept bond payments, alimony, fines, probation fees, court costs and restitution.
  • Process child support judgments, creating necessary documentation, preparing receipts/waivers for district payments received and interacting with state agencies regarding case specifics.
  • Assist with child support direct deposits and print batched check list.
Case Analyst duties
  • Verify and process dockets, orders and decrees.
  • Extract alphabetic, numeric or symbolic data from original documents verifying data.
  • Compare and verify entered data with original document data.
  • Prepare and process inmate correspondence and distribute.
  • Prepare files for archival and work with records management retrieving files.
  • Perform year-end closure of documents, preparation of statistics, etc.
Peripheral duties
  • Assist in empaneling juries for District Court.
  • Serve as a member of various committees.
  • Complete required training.

Education and Work Experience and Other Requirements

  • Associate‘s degree from an accredited college or university in paralegal studies, criminal justice, political science, history, records management, business or public administration required*
  • Bachelor‘s degree preferred.
  • Three (3) years of bona fide experience as a paralegal or legal assistant or in an administrative support position in the justice field required.*
  • Two (2) years of experience in bookkeeping or accounting position required.
  • One (1) year face-to-face customer service position required.
  • Two (2) years of MSOffice experience required.
  • Type/keyboard 40 net words per minute required.
  • Completion of a pre-employment criminal record check and conditional offer drug screen required.
  • *Equivalent combination of work experience and education may be substituted for requirements on a year-for-year basis.

  • Work is generally performed in an office setting Noise level is usually moderate. Work hours are typically standard day-shift hours; however, schedule may vary (e.g. days, weekends, overtime/extra hours, holidays, emergency call-in). Work may be stressful when dealing with time constraints, multiple/changing priorities, limited resources and uncooperative/irate individuals.
  • Work requires some physical activity, including extended periods of sitting and standing, frequent walking, and occasional balancing, kneeling, bending, and reaching. Work also requires the ability to frequently lift/carry objects weighing up to 10 pounds and occasionally up to 40 pounds.
  • Required sensory abilities include vision, hearing and touch. Visual abilities, correctable to normal ranges, include close, distance and color vision, and the ability to adjust focus. Communication abilities include the ability to talk and hear within normal ranges. Incumbent must possess the hand-eye coordination and manual dexterity necessary to operate computers and other equipment.
