Summary:

Reporting directly to the CEO and COO, performs a wide range of complex and confidential administrative and clerical support duties. The individual will work in conjunction with all administrative staff, ensuring the sufficient delivery and completion of all tasks assigned as needed per administrative staff in their perspective departments. The individual will have the ability to multi-task and work in a fast-paced environment and be flexible. Requires excellent communication and interpersonal skills, ability to use the full Microsoft Office suite, and ability to provide information and service to a wide range of internal and external contacts. Job requires individuals to be in the field and in our sites several days a week. The ability to digitize our files and information.


Key Responsibilities:

Administrative Support:

  • Manage the CEO & COO’s calendar, including scheduling meetings and appointments.
  • Coordinate and prepare materials for meetings, including agendas, presentations, and minutes.
  • Screen and prioritize emails, phone calls, and other communications on behalf of the COO.
  • Handle confidential information with discretion.

Operational Support:

  • Assist the COO in the day-to-day management of operations across the residential habilitation and home care branches.
  • Support the COO in tracking key performance indicators (KPIs) and preparing reports.
  • Coordinate with department heads and managers to ensure alignment with company goals and initiatives.
  • Assist in project management, including planning, execution, and follow-up on critical tasks.

Communication & Liaison:

  • Serve as a liaison between the COO and internal/external stakeholders, including employees, clients, and partners.
  • Draft, proofread, and edit correspondence, reports, and presentations for the COO.
  • Facilitate communication across departments to ensure effective collaboration.

Event Coordination:

  • Plan and coordinate company events, meetings, and conferences as directed by the COO.
  • Arrange logistics for meetings, training sessions, and other company functions.

Special Projects:

  • Assist the COO with special projects as needed, including research, data analysis, and strategic planning.
  • Take the lead on specific initiatives as delegated by the COO.



Qualification Requirements:

  • Ability to organize a daily workload by priorities
  • Must be able meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills
  • High School Diploma
  • Strong written and verbal communication skills
  • Active Driver’s license
  • Ability to work independently and collaboratively in a fast-paced environment
  • Willingness to undergo a background check


Working Arrangement:
