Ultimately you will create and manage a new department that oversees all proposals and contracts across multiple entities.
Position Overview:
This is a hands-on position responsible for directing the successful execution of various types of contracts and proposals for our government, civil engineering, and sustainability consulting firms. This position requires an advanced skill level working with formulas and functions in MS Excel to produce and analyze quantitative and qualitative data.
This position requires full-time, onsite presence at our corporate office in Orange, CA.
Responsibilities include, but are not limited to:
- Lead the development of policies and procedures pertaining to the entire contract process flow from proposal to contract approval process. Implement process improvements that will streamline workflow and maximize efficiencies across all divisions.
- Manage entire project administration process from project set up to project close out.
- Review, interprets, and analyze contracts and service agreements to ensure the terms comply with legal guidelines, contracting principles, cost constraints as well as with corporate and client procedures.
- Engage with senior executives to learn about their respective business units, the types of proposals they respond to, especially those in line with growth objectives.
- Gain an understanding about VCA’s expansion initiatives and be ready to hit the ground running to ensure our competitiveness.
- Review past RFPs, submitted proposals, and contracts for each business entity to gain an understanding about the specific requirements.
- Take ownership and negotiate and interpret contracts and monitor fulfillment of contractual obligations both internally and externally.
- Analyze amendments to existing contracts or requests for extensions, provide recommendations of approval or alternate solutions to Executive Management.
- Prepare, Review and edit proposal content including technical aspects, content, style, value added information, graphics, and brand management.
- Manage insurance renewal process and maintain COI’s for each client based on their stated requirements
- Prepare quarterly reports regarding the number of proposals written, awarded, declined, etc. including charts that demonstrate our success ratios.
- Accountable for administration and execution of the entire contract management process.
- Backup and support the Accounting Department as needed
Supervisory Responsibilities:
- Demonstrate the ability to lead a productive and efficient team.
- Provide formal supervision to employees including mentoring and coaching team members to further develop competencies.
- Recommend staff recruitment, selection, promotion, corrective action, and termination.
- Plan and monitor appropriate staffing levels and utilization of labor, including overtime.
- Lead by example and model behaviors that are consistent with company’s values.
Job Requirements:
- Bachelor’s degree in Accounting, English, Communications, Marketing, Business, Civil Engineering, or Related Field.
- 2+ years of experience in managing contracts and proposals for multiple industries. including government, engineering/construction, and sustainability consulting services.
- A portfolio of the various types of contracts and proposals you’ve personally written.
- Proficiency utilizing various software including Adobe Pro, MS Suite, Bluebeam, etc.
- Outstanding communication skills: ability to write, edit, and present contracts and proposals.
- Strong organization skills, attention to detail, and ability to meet deadlines.
