About the Role

We are seeking a highly skilled and experienced Division Administrator to join our team at the University of California, Irvine. As a key member of our department, you will be responsible for supervising the administrative services of a large academic department, reporting to the Chief Administrative Officer. Your duties will include overseeing various functions such as IT, facilities, student services, contracts and grants, budgetary financial management, and human resources. You will supervise support and/or professional staff, ensuring the smooth operation of our department.

Key Responsibilities
  • Supervise administrative services, including IT, facilities, student services, contracts and grants, budgetary financial management, and human resources.
  • Oversee the work of support and/or professional staff, ensuring the efficient operation of the department.
  • Develop and implement policies and procedures to ensure compliance with university regulations and guidelines.
  • Collaborate with other departments and campus staff to achieve shared goals and objectives.
  • Provide exceptional customer service to faculty, staff, and students, responding to their needs and concerns in a timely and professional manner.
Requirements
  • Bachelor's degree in a related field or equivalent experience.
  • 5-7 years of relevant job experience, preferably in an academic setting or private physician office.
  • Proven track record of supervising staff, managing budgets, and ensuring compliance with regulations.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Ability to work in a dynamic environment with rapidly changing priorities and frequent interruptions.
Preferred Qualifications
  • Master's degree in Business or Healthcare Administration or equivalent field.
  • 3-5 years of experience in managing divisions or departments in a complex matrix.
  • Working knowledge of UCI cost accounting standards and familiarity with UCI online financial systems.
