Position Summary: The position of the Grants and Financial Administrator plays a critical role in supporting the organization's mission by managing grant funds effectively and ensuring compliance with regulatory requirements. in addition to overseeing the fiscal activities of the organization.


Job Responsibilities:

Grant Administration:

  • Maintain official records and documents to ensure grants and funding expenses, payables and receivables follow federal, state, county, and local regulations.
  • Prepare and submit reimbursement requests per grant guidelines after Executive Director approves.  
  • Assist the Grant Writing Team with providing grant budgets and assist the Executive Director and Development Director with grant narratives to ensure client needs are met.
  • Prepare statistical and all other reports as requested by funders in a timely manner.
  • Approve written financial request and ensure all supporting documentation is collected and allocated to appropriate funder.
  • Prepares annual site visits from funders in conjunction with the Executive Director.
  • Maintain a solid relationship with funders. 


Budget and Finance:

  • Develop and maintain sound financial practices in conjunction with the Executive Director.
  • Prepare and maintain the annual agency budget in conjunction with the Executive Director and Finance Committee.
  • Ensure budgeted expenditures are allocated to the appropriate grant funds. 
  • Ensure adequate funds are available to permit the agency to carry out its work; ensuring reimbursements are paid.
  • Oversees A/P and A/R and deposits within budget guidelines.
  • Process retirement payments within QuickBooks and update retirement software.
  • Oversees banking accounts in conjunction with the Executive Director.
  • Prepares Month-end activities and submits to the Executive Director.
  • Prepares reports for Workers Compensation audits, Health Insurance and Retirement as needed. 
  • Assist CPA and Auditor with documentation and reports needed for 13-month statement and annual audit.
  • Serves as Payroll Administrator in conjunction with Executive Director to establish employee payroll accounts, process payroll biweekly in payroll software, and imports General Ledger into QuickBooks ensuring employees are classed to appropriate funder.

 

Human Resources

  • Process and orient new hires to include employee handbook and benefit options such as medical insurance and retirement benefits.
  • Enter new hire information into QuickBooks and Payroll vendor if applicable.  
  • Enrolls new hires in benefits according to employee handbook.
  •  Enrolls new hires in E-Verify.
  • Maintains office and files in an orderly and efficient manner. 
  • Acts as alternate representative for Executive Director at state, federal and local meetings.
  • In conjunction with the Development Director, ensure continuity of administrative authority in the absence of the Executive Director. 
  • All other duties as assigned by the Executive Director

 

Qualifications

  • Bachelor’s degree in business with a minor in finance, accounting, or related field or equivalent business experience in fiscal management with 2 years of experience required.  

·        Strong organizational skills with meticulous attention to detail. 

·        Effective communication with excellent written and oral communication skills.

·        Proven experience in grant management, financial administration, or related roles.

·        Strong understanding of financial principles, budgeting, and accounting practices. 

·        Strong decision-making skills.

·        Exceptional computer skills in Microsoft suites (word & excel).

·        Proficiency in financial software such as QuickBooks.

·        Capable of working independently.

·        Valid driver’s license

·        Privately owned automobile with liability insurance and a willingness to utilize own vehicle in job performance.

·        Ability to relate to individuals of all socio-economic levels, races, religions, creeds, and nationalities.

·        Able to demonstrate empathy, sensitivity, and good judgment when dealing with resident issues.
