Role: Banquet Coordinator 


The banquet coordinator must be an excellent communicator with the membership and staff. Success in this role starts with an outgoing personality and warm sense of humor, flexibility, excellent verbal communication skills, and a commitment to continuous improvement. This leader will set an example for all areas as outlined and maintain a professional, business profile while acting as a representative of the Memphis Hunt & Polo Club (the “Club”). 


DUTIES AND RESPONSIBILITIES

Catering (Special Event planning, management, and execution)

•Responsible for all Special Events/Parties/Banquet Functions, including meeting with the members to determine needs, meeting those needs, executing those functions and exceeding their expectations through detailed communication.

•Ensure all services administered to Club members and their guests are consistent with expected level of service

•Attendance at all required Food and Beverage Meetings

•Create BEO’s for bulk to go orders, club functions, member events

oGather signatures on all BEO’s

•Properly communicate all charges on the BEO for correct billing

•Provide tours and offer suggestions in efforts to sell the Club’s facilities for the occasion being planned

•Inspects finished arrangements

•This position will be required to work evenings and weekends to assist in the setup and execution of functions

•Diagrams room layout, banquet item placement and related function details


Other Responsibilities

•Assist in a la carte dining when there are no other functions occurring 

•Respond to member inquiries in a timely fashion

•Maintain the Club Events calendar

•Maintain Club’s master calendar and function book

•Any other duties assigned by the Club General Manager


KNOWELEDGE AND SKILLS REQUIRED

To be successful in the position of banquet coordinator, the following experience, knowledge, skills, and training, or their equivalents, are required:

•Familiarity or experience with private club culture, practices and environment 

•Ability to work well under pressure and think on your feet

•Ability to succeed in a dynamic and fast-paced environment 

•Ability to communicate professionally and courteously verbally and in writing

•Ability to put stressed members and co-workers at ease

•Ability to problem solve on the spot and take ownership for problem resolution

•Ability to maintain confidentiality and privacy in all dealings

•Excellent member service skills

•Seek out opportunities to engage membership and guests and follow up on their experience

•Arrive well-groomed and on-time and dressed in the appropriate attire
