Job Summary
We are seeking a skilled and detail-oriented Collections and Lien Coordinator . This role involves managing collections, lien filings, and providing support for special projects. The ideal candidate will be responsible for accounts receivable, coordinating lien management processes, and ensuring deadlines are met. This position requires excellent organizational, communication, and multitasking skills, along with experience in collections and lien management.

Key Responsibilities

Collections and Accounts Receivable:

  • Monitor outstanding accounts and take proactive steps to collect overdue payments.
  • Initiate and maintain regular communication with clients regarding payment status, negotiating payment plans when necessary.
  • Communicate effectively with sales, service, and parts departments to coordinate collections activities.
  • Track and maintain detailed records of collections activities, preparing reports for management on outstanding receivables.

Lien Management:

  • Prepare, file, and manage lien documents and releases in compliance with applicable state and federal laws.
  • Track lien deadlines and ensure timely and accurate lien filings for all projects.
  • Maintain organized records of lien activities and provide updates to internal teams and external stakeholders.
  • Act as a point of contact for sales and accounts receivable departments regarding lien-related matters.

Reporting and Documentation:

  • Generate regular reports on collections activities and lien filings.
  • Ensure accurate filing of all collections and lien-related documentation for easy access during audits or future reference.
  • Maintain up-to-date records with status updates for internal use.

Compliance and Process Improvement:

  • Ensure all collections and lien activities comply with company policies, legal requirements, and industry best practices.
  • Identify opportunities for process improvements in collections, lien management, and special project execution, providing recommendations to enhance operational efficiency.

Qualifications

  • High school diploma or equivalent; a bachelor‘s degree in business, finance, or a related field is a plus.
  • 2+ years of experience in collections, accounts receivable, lien management, or a related field.
  • Knowledge of lien laws, particularly in construction, is preferred.
  • Excellent organizational skills with the ability to manage multiple tasks and deadlines.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong communication, negotiation, and problem-solving skills.
