Administrative Specialist II, DevelopmentThe Development Division Administrative Coordinator provides essential administrative and operational support to development officers across multiple colleges. This position ensures efficient day-to-day operations, manages complex calendars, ensures accurate processing of travel documentation and related expenses, and facilitates clear communication among deans, faculty, and Foundation partners. The coordinator will help drive the divisions donor engagement and stewardship efforts by tracking deadlines, managing lists, and collaborating with University partners and units to ensure effective coordination and compliance with university and Foundation policies.The position provides a wide range of operational support to visitors, students and employees, navigating a variety of administrative processes, procedures and cyclical calendars of activities critical to the operation of the unit within the broader university. The primary responsibility is to serve as administrative process expert and coordinator. The position may serve as first point of contact for the department while also performing administrative functions such as researching information and solving problems for faculty, staff and students, and providing program and/or event assistance. Duties may include:Compose, proofread, edit and distribute a variety of business documents and routine reportsMaintain schedules and event calendarsCoordinate logistics for regular travel and meetingsCollect and organize data, enter information into various electronic systems in accordance with university or department procedure to ensure accuracy and compliance, validate information and resolve conflicts in dataReview internal operating procedures and practices to determine whether improvements can be made in areas such as workflow and records managementGreet office visitors and respond to incoming calls and email correspondence. Provide information about office services and processes, redirect inquiries to appropriate offices/individualsManage inventoryOther duties as assignedRequired Experience:One year performing office support functions such as document or records management, composing or editing and formatting business documents, reception and/or customer serviceUsing computer software and applications for word processing, spreadsheets, email and internet researchBalancing a workload of assigned tasks to meet multiple deadlinesRequired Education:High School Diploma or equivalentRequired Other:Must possess a valid drivers license and be able to meet policy requirements for driving university-owned vehiclesAdditional Preferred:Experience collecting and compiling dataExperience using computer information systems that manage an organizations finances, business processes and/or recordsAbility to be highly organized and detail orientedAbility to balance multiple priorities in a fast-paced environment while maintaining the highest standards of professionalism and confidentialityPhysical Requirements & Working Conditions:NoneDegree Requirement:N/A: No degree requirementFLSA Status: Non-ExemptEmployee Category: ClassifiedPay Range: $20.20 per hour or higher depending on experienceType of Appointment: Full TimeFTE: 1Funding: Open Until FilledSpecial Instructions to Applicants:Hiring for two positions based in Moscow and/or Boise Idaho and not offering Visa sponsorship.
